We are looking for a highly organized and proactive Executive Assistant to provide comprehensive support to the CEO and executive team. This role is ideal for a detail-oriented professional who thrives in a fast-paced environment, excels at managing schedules, coordinating meetings, handling office operations, and assisting with HR and event planning. Key Responsibilities:

  • Manage CEO and executive calendars, schedule meetings, coordinate appointments and general day-to-day activities of the Executive team.
  • Support day-to-day office operations, ensuring seamless workflow, orders office supplies and furniture. Maintains the office to be tidy and functional.
  • Plans, coordinates, and schedules all aspects of executive and management meetings, including reserving and preparing facilities, preparing agendas, taking and distributing minutes, scheduling travel, if required.
  • Prepares reports, letters, presentations, memos, and other business communications, as needed.
  • Handle confidential information with discretion and professionalism.
  • Works in close collaboration with employee volunteer committees to administer Company events, this includes social and fundraising events, and year-end holiday party.
  • Supports the Manager in the Human Resources department with ad-hoc projects, including onboarding, report creation, and data management.
  • Administers employee recognition programs.
  • Professionally greets customers and vendors in person and on the phone.
  • Demonstrates a positive team attitude with a willingness to learn.
  • Handles mail and correspondence for the executive team.
  • Arranges travel and accommodation, as required.
  • Completes expense reports in accordance with allowable expense policy.
  • Gatekeeper for the CEO.
  • Other duties as assigned.

Knowledge, Skills and Abilities:

  • High attention to detail, while being able to effectively see the big picture.
  • Excels at planning and organizing.
  • Ability to adapt to a fast-paced, and changing, work environment.
  • Ability to take initiative in making decisions and troubleshooting problems.
  • Highly self-motivated, positive, and enthusiastic.
  • Superb verbal and written communication skills.
  • Intermediate skills in Microsoft Office including Excel, Word, Outlook, PowerPoint, Teams and SharePoint.
  • Ability to maintain a high level of confidentiality and professionalism.

Training, Education and Experience:

  • 2-3+ years of previous experience in an executive assistant role.
  • Experience with travel coordination and event planning is a plus.
  • Diploma or certificate from an Office Administration program is considered an asset.

Compensation Package:

  • Salary between $50,000 - $55,000 depending on skills and qualifications.

Working Conditions:

The Executive Assistant is based out of the Surrey office and works 40 hours on average per week Monday to Friday.
