MATRIX is seeking an Excel Automation Specialist to work on-site at our offices in Osoyoos, BC.
This 1–2 week contract role will involve doing a functional assessment of our shared Excel workbooks that are used to manage employee travel and scheduling – and making enhancements to the workbooks to increase their functionality. This may include some task automation, where possible. These workbooks are currently functional but cumbersome, manual, and prone to error.
We are seeking someone who can quickly understand the needs of multiple internal stakeholders and create intuitive, efficient solutions that reduce daily admin burdens and improve data accuracy.
Position Overview
Key Responsibilities:
Assessment and Analysis:
- Conduct a functional assessment of the current Excel-based scheduling and travel workbooks.
- Interview and/or shadow key staff (Schedulers, Travel Coordinators, Payroll, Operations, AP/AR) to understand daily use cases, challenges, and data dependencies.
- Identify pain points, bottlenecks, manual processes, and error-prone elements.
- Identify opportunities to automate workflow through conditional formatting, flagging gaps/exceptions/potential errors/duplications, and/or other enhancements.
- Identify opportunities to enhance functionality of current Excel workbooks to drill down on individual employee itineraries/travel documents, etc.
- Identify opportunities to auto-extract selected tabular information for various weekly client reporting needs.
- Understand requirements for shared access and data visibility across departments to ensure enhancements do not inconvenience any end-user.
Design and Automation:
- Enhance the usability, accuracy, and efficiency of existing Excel workbooks.
- Implement automation through formulas, data validation, lookups, dynamic ranges, conditional formatting, macros, or VBA as appropriate (noting the worksheets are dynamic and must be accessed by multiple users, which may limit the options as to which automations will be practical).
- Streamline data entry and reduce duplication.
- Ensure stability and ease-of-use for less technical users.
- Develop modular solutions that can adapt as the company grows.
Implementation and Support:
- Work on-site with staff to test solutions in real time and iterate as needed.
- Document updates made to tools with clear user instructions or tooltips.
- Provide light coaching to users on how to maintain and adapt the tools moving forward.
Collaboration and Communication:
- Engage across departments to ensure tools support their unique operational needs.
- Balance technical recommendations with business practicality and user capacity.
- Present proposed changes and enhancements clearly and professionally.
Primary Duties and Responsibilities
As above. Additional deliverables may include handover documentation or training checklists.
- Demonstrated advanced expertise in Microsoft Excel, including advanced formulas, pivot tables, data validation, and conditional formatting. VBA/macros might be applicable.
- Experience streamlining and automating operational spreadsheets for cross-departmental use.
- Strong understanding of Excel file sharing, cloud sync limitations, and version control best practices.
- Excellent communication and documentation skills.
- Experience working with business operations, scheduling, payroll, or travel data a strong asset.
- Ability to work independently and professionally with minimal guidance.
- Must be able to work on-site at our Osoyoos, BC office for the duration of the contract.
- Prior consulting experience preferred.
Working Conditions
This is an on-site, short-term contract based in Osoyoos, BC. The role will require full-time hours (Monday–Friday) for approximately 1–2 weeks. The working environment is busy and fast-paced, with occasional interruptions as scheduling and travel teams interact with multiple departments.
