Our international client is looking to bring on an Events Specialist to be based out of their Calgary office. This role will be spearheading internal events, focused on, but not limited to, their west coast offices.

The ideal candidate will have an event planning background, ideally with experience rooted in the hospitality sector. This role entails meticulous full cycle event execution in a fast-paced environment, requiring organizational excellence, superb interpersonal skills, and the ability to troubleshoot with ease, all while maintaining consistent communication with various stakeholders.

This is a front-facing role that requires the highest level of polished professionalism at all times, agility, calmness under pressure, and a strong ambassadorship for this elite brand.

Duties and Responsibilities:

  • Coordinate and facilitate large events for external clients, as well as internal/virtual events, attending as needed to ensure their smooth execution.
  • Utilize project management platforms to create event reports (recording, presence, post-event analysis).
  • Adhere to event budget requirements, keeping track of vendor invoice payments and maintaining strong relationships with preferred vendors.
  • Other duties as assigned.

Education:

  • Post secondary education in Communications, Business Administration and/or Event Management.
  • Certified Meeting Professionals (CMP) designation considered a huge asset.

Qualifications:

  • Valid driver’s licence and reliable vehicle.
  • Valid Canadian passport and ability to travel to Western Canada/US.
  • Successfully complete a criminal background check.
  • Proficiency with document and event management systems (CVENT, Vuture, etc.) and online meeting platforms (MS Teams, Zoom, ON24, etc.).

Experience:

  • 3+ years of large scale event management experience, preferably in the hotel/hospitality industry.
  • Experience in project/vendor management, and reviewing/negotiating vendor contracts.
  • Experience delivering events in all mediums (in-person, virtual and hybrid).

  • Professional, positive and forward thinking personality.
  • Excellent communication and interpersonal skills.
  • High attention to detail and organization.
  • Level-headed, able to remain calm under pressure and flourish in a fast-paced environment.
  • Outstanding time management skills, able to meet strict deadlines with ease.
  • Proactive, able to think critically/strategically and solve problems before they arise.
  • Adaptable and flexible, able to function effectively autonomously as well as in a team environment.
  • Maintain a comprehensive understanding of the latest digital trends and best practices.

Base Salary: $70,000 – 80,000+ per year

  • Salary based on experience.

Work Hours:

  • Full time hours.
  • Flexible work hours based on events (early morning, evening and weekend availability as needed).
  • Hybrid work environment (2-3 days in office per week).

Remote Work:

  • This position operates on a hybrid work model.

  • This opportunity does not include relocation. It will be the responsibility of the candidate should relocation be required.
