As the Event Manager and Special Projects Officer, you have an exciting role in planning a diverse portfolio of exceptional events during the celebration of our 50th anniversary and beyond. Your primary objective is to engage the university with critical stakeholders and the communities we serve while building valuable connections. By creating thoughtfully curated events, you will facilitate meaningful interactions among various key players, including the President’s office, university leadership, faculty and staff, students past and present, alumni, donors, elected officials, business and community leaders, media representatives, and other community stakeholders. Additionally, you will be responsible for designing and managing large-scale events, specifically the President’s Signature Events. These events will not only strengthen relationships but also propel the institution’s strategic priorities forward and enhance the University’s reputation as a leading post-secondary institution in our province and beyond.

What You’ll Do:

Communication Coordination:

  • Craft and coordinate all communication efforts, including sending invitations to esteemed guests and devising promotional strategies to enhance attendance.
  • Ensure timely delivery of special notices and updates to the target audience.
  • Assist in preparing speaking notes for key speakers to align their messages with event objectives.

Stakeholder Relationship Management:

  • Act as the primary point of contact, building and maintaining positive relationships with key stakeholders.
  • Manage stakeholder expectations effectively throughout the event planning and execution phases.
  • Acknowledge stakeholder contributions and ensure their needs are addressed.

Financial Oversight:

  • Develop and manage event budgets, allocating funds meticulously and monitoring expenses.
  • Track project budgets, ensuring alignment with allocated funds, and provide regular, accurate financial updates to stakeholders.

Contribution to Community Engagement Strategy:

  • Collaborate with decision-makers and stakeholders to enhance the university’s community engagement initiatives.

Facilitation of Collaboration:

  • Serve as a liaison between faculty and staff members, facilitating effective communication, soliciting input, and coordinating contributions for events.

Adaptability and Additional Responsibilities:

  • Embrace flexibility and adaptability to undertake additional duties aligned with the university’s objectives.
  • Demonstrate commitment to the institution’s success by contributing to evolving needs and priorities.

Position Requirements

What You’ll Bring to this Position:

  • Undergraduate degree in a relevant field; and
  • Five years of event management experience.
  • An equivalent combination of education and experience may be considered.

Skills That Will Ensure Your Success in the Role:

  • Demonstrated experience in planning, coordinating, leading and executing events.
  • Experience managing and coordinating service providers.
  • Demonstrated experience in developing event briefings and project evaluations.
  • Knowledge and experience with budget preparation and project management.
  • Demonstrated leadership, communication (verbal/written), public speaking and interpersonal skills to establish rapport with community stakeholders, alumni, students, staff, faculty and all levels of management.
  • Proven ability to interpret and apply policies and procedures.
  • Demonstrated skill in Microsoft Office software and a wide variety of complex databases and systems.
  • Must have the ability to effectively manage multiple projects with conflicting priorities.
  • Must have the proven ability to develop innovative solutions to complex problems and possess strong conflict resolution skills.
  • Must be able to effectively lead and coordinate a planning team.
  • Ability to create compose and edit a variety of written and electronic material with accuracy.
  • Excellent organizational skills including a proven ability to work effectively with minimal supervision, prioritize work and accomplish tasks correctly and on-time with strong attention to detail.
  • Demonstrated knowledge of appropriate methods to handle confidential material.
  • Must be willing to accommodate periodic evening work as needed for University events.

Physical Demands

Pay Grade APT 4 Salary Range $64,796 - $87,436

Status

Term Work Hours: Monday – Friday 8:15 – 4:30. Attendance at occasional evening and weekend events is required.

Duration (if Term/Temporary)

Term to March 31, 2026; with the possibility of extension or becoming permanent.
