The University of Lethbridge Faculty of Fine Arts is accepting applications for an Events Coordinator – Community, External, and Patron Relations, 0.8 FTE position commencing as soon as possible and ending approximately January 19, 2028.

Reporting to the Operations Manager of the Faculty of Fine Arts, this position provides coordination and support for public-facing events and activities within the Faculty, ensuring that artistic components of these events are executed in a safe, professional, and coordinated manner.

The Events Coordinator provides event support for outreach, recruitment, retention, and fundraising activities for Faculty of Fine Arts events such as Alumni events, Abbondanza, Vibe Festival, summer community programming, and Indigenous engagement events as required. They provide oversight and support to ensure that performance, installation, and exhibition components of events with community or external engagement aims are completed and professionally managed. This includes coordination and communication between Faculty committees and working groups, technicians, managers, volunteers, students, and casual staff.

The Events Coordinator ensures planning expectations are met, particularly in relation to artistic/performance needs, that set-ups comply with university regulations, policies, and Alberta fire codes, that the event is supported with students, staff or volunteers, and are responsible for ensuring spaces are reset at the conclusion of the event.

The Events Coordinator ensures that all patrons attending Fine Arts events have an outstanding customer service experience. They oversee all aspects of patron services, including management of the Faculty of Fine Arts Box Office. This role oversees communication to patrons, maintains ticketing software, oversees ticketing processes, and provides training, scheduling, and supervision of casual Box Office support staff, student stage managers, community programming, and other student support staff as needed. They reconcile all daily ticket sales summaries and deposits for box office revenues including operations related to the Theatre bar.

The Events Coordinator also oversees all operations of the Penny Gallery, including communication with potential users, conducting walk-throughs, providing access, and ensuring students, faculty, and external users’ needs are supported to a high standard throughout their booking of the space. They are also required to provide ongoing maintenance as necessary.

This position requires a high degree of physical mobility, including lifting equipment and staging up to 50 lbs, and is scheduled to work evenings and weekends as necessary.

Position Qualifications

  • College diploma, or equivalent combination of years of experience and education. A university degree is an asset.
  • Proven and successful experience in production management, stage management, and events management.
  • Excellent customer service and communication skills.
  • Experience working with students and community from diverse backgrounds.
  • Strong organizational and time management skills.
  • Proven ability to work independently and as part of a team.
  • Demonstrated ability to maintain effective working relationships with a variety of individuals and groups including students, faculty, staff, members of the broader university community, and the general public.
  • Ability to lift 50lbs and work in physically challenging environments.
