Established Event Centre located in High River, Alberta is currently seeking an experienced Event Supervisor for an eight month contract (maternity leave) position.

Position Summary

This is a hands-on operational position responsible for the execution of all onsite events at the Highwood Centre.

Position Overview

Responsible for assisting in executing all events at the Highwood Centre. This includes contributing to pre-con meetings, event preparation including room set up, staffing assignments, and employee supervision. Acting as a point of contact for client communication and vendor coordination. Responsible for all bar services including cash handling and inventory reconciliation. Event booking administration when required.

Key Responsibilities

  1. Administration
    • Organize and review weekly events and posting BEO’s on internal events board.
    • Attend weekly pre-con meetings and assist with providing operational requirements plan inclusive of staffing requirements, service tools, inventory, and AV for each event.
    • Ensure timely event reporting is accomplished, including sales reports, ticket sales, bar reconciliation.
    • Provide event postmortem summaries to management at the conclusion of every large event.
    • Provide other administrative support as required by management.
    • Assist with payroll-related reporting when required.
  2. Customer Relations and Events
    • Act as a host to all guests who enter the Centre by providing a warm, inviting, and knowledgeable welcome while providing direction and assistance when required.
    • Demonstrate a friendly, personalized professional demeanor when answering phone inquiries and in person.
    • Assist with offsite promotional events when required.
    • Continually look for ways to go above and beyond for our guests, seeking out ways to personalize services to exceed expectations.
    • Assist with attracting new clients through sound event execution practices and communication.
    • Assist with Highwood Centre community enrichment events inclusive of marketing, coordination, and successful day of event execution.
  3. Team
    • Demonstrate an openness to training and coaching.
    • Communicate effectively with the board of directors, management, and team members.
    • Be an active listener and contribute to the success of the Highwood Centre by offering ideas and suggestions.
    • Use company time productively.
    • Complete assigned tasks in a timely manner, meeting deadlines.
    • Maintain a high degree of integrity and ensure confidentiality with all Highwood Centre business, clients, Board Members, and employees.
    • Act as an ambassador to the Centre and ensure appropriate representation within the community when participating in off-site meetings or trade shows.

    • Demonstrate a strong ability to take initiative, be a self-starter.
    • Demonstrate emotional composure during fast-paced and stressful situations.
  4. Leadership
    • Lead by example and provide ongoing training to event staff and follow up with opportunities/successes.
    • Ensure all employee performance feedback is reported in a timely manner. Provide feedback for review periods.
    • Assist with employee event scheduling and communication.
    • Ensure all Alberta Labour Standard codes of practice are followed.
    • Ensure all actions and communication follow the Alberta Human Rights Act.
    • Ensure performance management standards are followed.
    • Maintain an approachable, adaptive leadership style.
    • Demonstrate ability to be a creative, outside-the-box forward thinker.
    • Act as the manager on duty for event execution and set up in the absence of the General Manager.
  5. Operations
    • Ensure all Alberta Health standards are adhered to.
    • Ensure all OH&S standards and requirements are followed.
    • Assist with month-end inventory procedures inclusive of reconciliation.
    • Ensure safe cash handling and reconciliation procedures are followed.
    • Ensure all A.G.L.C rules and regulations are adhered to.
    • Monitor all public areas for cleanliness and report deficiencies.
    • Be cognizant of product cost and profit margin targets for events and including labour cost targets.
    • Ensure events are set up according to BEO requirements.
    • Responsible for day-to-day event execution inclusive of set up, tear down, AV, vendor coordination.
    • Coordinate set up and cleanliness requirements with Building Custodian.
    • Assist with internal concession catering preparation when required.
    • Assist with event purchasing and off-site supply procurement when required inclusive of beverage inventory.
    • Perform end of event sales reconciliation and deposits when required.
    • Protect company assets and ensure end of day security protocols are adhered to.

Experience & Qualifications

  • High School diploma required.
  • Minimum 2 years banquet/event experience.
  • Minimum 1 year progressive management experience.
  • Familiarity with cost controls including bar COGS and reconciliation.
  • Ability to supervise 1 – 10 employees.
  • Excellent interpersonal, oral, and written communication skills.
  • Ability to multitask, work under pressure and have a high attention to detail.
  • Intermediate computer skills required. Experience in Microsoft office (Email, Word, Excel).
  • Proserve Certification required.
  • Food Safe Certification considered an asset.

Hours of Work

Hours of work will vary including weekends, weekdays, morning, day, evening, and late-night shifts depending on event schedule.

Job Types: Full-time, Part-time, Fixed term contract
Contract length: 8 months

Pay: $19.00-$25.00 per hour

Expected hours: No more than 37.5 per week

  • ProServe (preferred)
