Position Overview
The Event Education Coordinator supports in planning, coordination, execution, and management of all Symposiums and education events. This includes support to financial data, programming, registration management, logistics coordination, and post-event feedback. Acting as the key liaison between the Education Programming Department, the Events Department, and other stakeholders, this role ensures the optimal support for the execution of Symposiums & events.

Major Responsibilities
Financial Data and Support Planning
  1. Collaborate with the senior leaderships in preparing the initial annual budget for the symposiums.
  2. Under the direction of the Events Director, develop detailed Profit and Loss (P&L) projections, pricing structures, break-even analyses, and revenue forecasting.
  3. Collaborate with stakeholders to compile a P&L draft for leadership approval.
  4. Research and analyze industry trends to optimize Symposium offerings and increase market competitiveness.

Symposium Registration & Website Integration
  1. Support the Events Director with Cvent entries and full registration process, optimizing attendees experience.
  2. Coordinate with IT, Finance, and Marketing teams to ensure secure payment processing, compliance with security protocols, and proper data management.
  3. Oversee registration handling, including processing registrations, creating orders, applying payments, and troubleshooting attendee questions and issues.

Programming & Event Logistics
  1. Design a schedule of workshops and courses to maximize engagement, profitability, and attendee experience for Symposiums and other events.
  2. Work with the Education Programming (EP) department to recruit and confirm presenters and assistants for Symposiums and events.
  3. Provide presenters & assistants with schedules and relevant workshop notes and training opportunities if necessary.
  4. Collaborate with the Events & Education Programming department to ensure all logistical needs (e.g., audiovisual requirements, workshop materials, translations) are met.
  5. Organize name tags for attendees, assistants, and staff.
  6. Travel to Symposiums as needed to assist with setup and execution.

Attendee & Stakeholder Communication
  1. Act as the primary point of contact for attendees, responding to inquiries, providing guidance, and ensuring a high-quality experience.
  2. Send biweekly progress reports to stakeholders with key metrics and visual data representation.
  3. Present Symposium updates in weekly meetings, providing insights into registration numbers, financial status, and operational considerations.
  4. Provide stakeholders with comprehensive Symposium reports (pre-event, during, and post-event).

Post-Event Analysis & Reporting
  1. Compile pre-event, live-event, and post-event reports to assess event performance and inform future planning.
  2. Work with Finance to finalize invoicing and profit-sharing agreements, ensuring compliance with contractual terms.
  3. Provide recommendations for ongoing process improvements based on event data and attendee feedback.

Skills And Qualifications
  1. 3 years of experience in event coordination, symposium planning, or digital event management.
  2. University or College Degree in Business Administration, Event Planning, or a related field.
  3. Working experience in Excel, PowerPoint, Word, and database management.
  4. Ability to travel internationally 4-5 times per year for event execution.
  5. Strong analytical and problem-solving skills, with the ability to manage multiple tasks and deadlines.
  6. Additional languages spoken/written are an asset.
