Job Summary

ventureLAB is seeking a highly organized and detail-oriented Event Coordinator to help oversee the seamless execution of in-person events hosted by both ventureLAB and our stakeholders. This role serves as the on-site point of contact for event hosts and attendees. You will play a key role in creating a welcoming environment and ensuring a memorable and engaging experience for all guests.

The Coordinator will report to ventureLAB’s Events Manager, working collaboratively and cross-functionally with other departments to conceptualize, execute, and promote ventureLAB’s events.

Key Responsibilities

  • Event Planning & Coordination:
    • Assist in the planning and execution of events, ensuring all logistical elements are aligned with the event objectives.
    • Manage ventureLAB’s event calendar, event intakes, general event inbox and perform other administrative responsibilities.
    • Assist with communication to the organization on upcoming events to ensure visibility and alignment.
    • Work cross-departmentally to support in the execution of events to ensure alignment with ventureLAB’s brand and vision.
    • Assist in the execution of ventureLAB's signature large scale events such as HardTech Summit.
  • On-Site Event Management:
    • Serve as the primary point of contact for small to medium sized events to ensure smooth operations.
    • Oversee event setup, registration, audiovisual setup, catering, and other logistical aspects as needed.
    • Coordinate with stakeholders and internal teams to ensure all deliverables are met.
    • Troubleshoot and resolve any on-site issues promptly and professionally, escalating issues to appropriate team members in a timely manner.
  • Post-Event Activities:
    • Collect feedback from stakeholders and attendees to measure event success.
    • Suggest improvements for future events based on data and experiences.

Qualifications

  • Experience:
    • 1+ years of experience in event coordination, experience in a not-for-profit or government organization is an asset.
  • Skills:
    • Demonstrate great interpersonal skills along with excellent verbal and written communication skills.
    • Must be a hands-on self-starter with the ability to manage multiple events and respond to changes in priorities.
    • Experience with event management best practices in deploying various meetings, delivering in an in-person, virtual or hybrid environment, and comfortably using technology to facilitate events and planning activities.
    • Strong ability to work as part of a team and independently.
  • Education:
    • Completion of a post-secondary education in Hospitality Management, Event Management or a related field.
  • Additional Requirements:
    • Access to reliable transportation to attend events in person.
    • Physical ability to lift and move event materials (up to 25 lbs.).
    • Ability to travel domestically and internationally, as needed.
    • Ability to work flexible hours, including evenings and weekends, as required by event schedules.

What We Offer:

Salary Range: $60,000 to $65,000 CAD per annum

In addition to salary, ventureLAB offers a comprehensive benefits package, learning and development opportunities and 4 weeks vacation.

Location of Work

According to ventureLAB’s Hybrid Work Policy, this role is an on-site essential role and works on-site from the office five days a week (Monday to Friday).
