As the dedicated event space for Bench Brewing, Fieldstone offers a charming and unique setting for a variety of gatherings, from intimate celebrations to larger events of up to 250 guests.

The venue features a private bar, a full AV system with four TVs, and custom 8ft and 10ft harvest tables, creating a welcoming atmosphere for any occasion. With 12 taps of incredible Bench beer, as well as a curated selection of wine, spirits, mixed drinks, cider, and sparkling wine, Fieldstone at Bench provides a true taste of the Niagara region.

Summary:

We are seeking a passionate Event Coordinator to join our team at Fieldstone at Bench. The Events Coordinator plays a vital role in the planning and execution of events at Fieldstone at Bench. Reporting to the Event Sales and General Manager, this position requires strong organizational skills, attention to detail, and a passion for delivering exceptional guest experiences. The Events Coordinator will support event operations from start to finish, manage event administration, and enhance client engagement and retention.

Responsibilities:

• Plan, organize, and finalize all event details to ensure smooth execution and client satisfaction.
• Greet and engage customers in a friendly and professional manner.
• Audit event files monthly to ensure payments are up to date and deposits are documented.
• Create and manage Banquet Event Orders (BEOs), floor plans, and event documentation.
• Ensure BEOs are reviewed and signed by clients to confirm event details.
• Coordinate logistics for sample meals for contracted clients.
• Assist clients with upgrades, updating event planning software and invoices accordingly.
• Provide exceptional customer service to enhance the client experience.
• Assist with event execution, including setup, service, and teardown.
• Help clients select menu options to meet or exceed their contracted food and beverage minimums.
• Ensure event spaces are clean, organized, and ready for execution.
• Polish and organize silverware and assist with table setup and teardown.
• Process final payments using Odoo accounting software.
• Keep digital signage (BrightSigns) updated and accurate.
• Serve and bartend as required.
• Assist with offsite events and tradeshows as needed.
• Perform other related duties as required.

Qualifications:

• Smart Serve certified (mandatory).
• Strong understanding of event administration, operations, and logistics.
• 1-2 years of supervisory experience is an asset.
• Excellent attention to detail and organizational skills.
• Strong communication and customer service skills.
• Positive, professional, and team-oriented attitude.
• Comfortable working outdoors in various weather conditions.
• Availability to work evenings, weekends, and holidays.
• Ability to stand for 8-10 hours.
• Must be able to lift a keg and cases of beer.
