The University will consider applications from qualified permanent staff who may be interested in a secondment, subject to departmental approval.

The Office of Signal Hill Campus Operations, Conference and Event Services (SHC Ops/CES) at Memorial University is responsible for the Emera Innovation Exchange Conference Centre, the Johnson Geo Centre event spaces, venues on St. John's Campus, and for the provision of event, meeting, and conference-related services for Memorial's St. John's Campus (SJC) and Signal Hill Campus (SHC).

SHC Ops/CES is looking for three to four friendly, organized, and energetic individuals to assist our events team to oversee the successful execution of evening and weekend academic, corporate, and private (e.g. weddings, birthdays) events at our various venues. Reporting to the Director, SHC Operations, Conference Services and Events, and managed by our Event Coordinators, the successful applicant will work as part of a highly collaborative team at Memorial University's Signal Hill Campus to help achieve the vision that our clients have of their perfect event.

This is a part-time, call-in position, working primarily during evenings and weekends, and represents a perfect opportunity for someone looking to supplement their current income with something hands-on and fun and/or looking to enter and gain experience in the event industry.

The Events Assistant will be responsible for acting as the on-site supervisor of assigned events on behalf of SHC Ops or CES; ensuring that each supervised event is well executed to meet the vision of the client; overseeing SHC Ops or CES on-site student staff; acting as the main on-site venue or event contact and support for the client, vendors, and guests; greeting clients and guests to the venue; providing assistance with wayfinding and directions; assisting with event set-up and tear-down; unlocking and locking venues; maintaining event schedules; on-site audio-visual or technical support; answering questions and providing event-specific support where possible; troubleshooting and problem-solving any last-minute challenges or concerns; tracking event ideas, issues, or feedback and communicating to Event Coordinators; attending pre-event meetings and/or rehearsals if necessary; and performing other event-related duties as required. This is a position of high responsibility as it will serve as the supervising person in charge of the venue and effective on-site execution of the event on behalf of SHC Ops or CES.

QUALIFICATIONS

Professional experience (1-2 years) within the hospitality, wedding, events, or customer service industries; completion of a high school diploma or a program relevant to the industries outlined above is required; or an equivalent combination of experience and training will be considered. The ideal candidate will have strong skills in communication, customer service, problem-solving, conflict management, organization, attention to detail, and time management. This position will require availability to work evenings and weekends and may require long hours, being on one's feet for long periods; and the ability to move furniture and equipment. Traits such as creativity, quick thinking, multi-tasking, initiative, high energy, a sense of humor, and the ability to pivot in response to the unexpected would be considered assets. Experience using audio-visual equipment is also considered a strong asset.
