Engineering Administrator | Southampton | Competitive salary plus excellent benefits | 12 months fixed term contract Monday-Friday - office hours

Job Purpose: The Engineering Administrator is a key member of the team.

Duties and Responsibilities:

  1. Ensure that all documentation required for the Engineering audit is up to date and filled in the correct location.
  2. Ensure that all HS21 contractor documentation is up to date and signed off by the Facilities Manager and filed correctly.
  3. Support the Facilities Manager in ensuring all Facilities policies are up to date with the relevant information.
  4. Ensure all relevant information is uploaded onto Pirana.
  5. Ensure all facilities trackers are kept up to date.
  6. Ensure all water test results are inputted into the live tracker, ensuring compliance for the water safety group.
  7. Support the Facilities Manager in accurate record keeping and easy retrieval filing of documentation for all services and equipment for audit purposes.
  8. Support the Facilities Manager with managing the ordering of spares, services, and consumables for the Engineering & Facilities department.
  9. Perform all other general Administrator tasks.
  10. Lead on waste at the hospital, ensuring compliance and waste segregation.
  11. Deliver waste training to the hospital staff.
  12. Be the main point of contact for waste.
  13. Deliver a monthly waste report with action and targets for improvement.
  14. Establish, monitor and develop local policies and procedures in conjunction with current Spire Policy, HTM and Code of Practices.
  15. Work in accordance with Health & Safety legislation and Spire H&S policies.

Who We're Looking For:

  1. Previous experience in Administration.
  2. Able to prioritise demands against resources.
  3. Able to assure hospital compliance with changing legislation.
  4. Excellent interpersonal and communication skills, including listening and negotiation skills.
  5. Ability to build relationships with all customer groups.
  6. Highly literate and numerate.
  7. Commercially astute with good planning skills.
  8. IT literate and a competent user of the MS Office suite of products.
  9. Proactive and able to self-motivate.
  10. Due to the unpredictability and nature of the function, the post holder will on occasion be required to work outside of normal working hours.
