Job Type: Temporary Full Time

Organizational Department: Sinai Health -> Mount Sinai Hospital -> Family Medicine

Employee Group: Non Union

Location: Mount Sinai Hospital Campus - Toronto, ON M5G 1X5 CA (Primary)

Travel Requirement: Travel required to other locations

Hours (subject to change): 37.5 hours - Mon – Fri 830-430 - Occasional travel to the Vaughan site required

This is a temporary Full Time position up to approximately twenty four (24) Months

Sinai Health is seeking an experienced Electronic Medical Records (EMR)/ Systems Administrator to support our Academic Family Health Team at both the Toronto and Vaughan sites. This role is crucial in ensuring the smooth operation and sustainability of our electronic medical records (EMR) system while providing general electronic systems support across the team.

As the Telus Practice Solutions (PSS) subject matter expert, you will be responsible for managing the EMR system, collaborating with Site Managers, and performing daily administrative tasks to maintain and improve system functionality. Additionally, you will offer general electronic systems support, covering areas such as email, network access, and website maintenance. You will play a critical role in supporting and training the Mount Sinai Academic Family Health Team in all technical and workflow-related aspects of the EMR and related clinical programs.

In this role you will:

  • Serve as the primary EMR super user, providing ongoing technical support to all users in collaboration with Sinai's IT department
  • Manage user accounts (creation, modification, and termination)
  • Lead onboarding for new staff and learners, training them on EMR functionality and remote access
  • Participate in documenting and optimizing workflows for EMR usage by job function and task
  • Collaborate with other hospital departments (e.g., Medical Imaging, Lab, Patient Registration, IT) to ensure system integrations and upgrades are tested and applied effectively
  • Maintain expert-level knowledge of the EMR system through vendor training, peer collaboration, and personal study
  • Stay updated on new EMR versions and enhancements provided by the vendor
  • Liaise with vendors, external IT providers, and third-party services to resolve EMR-related issues and coordinate system maintenance
  • Troubleshoot user queries and document software issues and solutions
  • Design, customize, and maintain EMR forms, reminders, toolbars, and templates in alignment with governance standards
  • Develop and update user manuals, policies, and procedures related to the EMR
  • Ensure data accuracy through proper documentation protocols (e.g., allergy and next-of-kin records)
  • Manage the EMR’s address book, pharmacy registry, and appointment scheduling templates
  • Create and revise appointment templates and trackers as required
  • Support the billing modules, revenue-generating queries, and other related functions
  • Perform other job related duties as required
  • Collaborate with internal and external stakeholders to optimize patient registration systems
  • Train staff on the use of Ocean for patient care documentation
  • Maintain and update the websites for both sites, ensuring timely changes and content management
  • Assist in the development and dissemination of electronic newsletters and emails in coordination with clinical teams
  • Serve as the electronic systems representative for the Health Equity data collection survey, providing staff training and support
  • Develop and educate staff on downtime procedures to ensure continuity of care during technical disruptions

Job Requirements

Mandatory:

  • Completion of a college certificate, technical course, or equivalent experience in information technology (1 to 3 years)
  • Experience managing information systems in an EMR environment, particularly in primary care settings

Skills and Knowledge:

  • Expertise with Telus Practice Solutions Suite (PSS) EMR
  • Strong problem-solving abilities, including data collection, analysis, and error resolution
  • Excellent verbal and written communication skills
  • Ability to work both independently and collaboratively within a team
  • Strong presentation skills and the ability to engage professionally with diverse groups, including physicians, managers, staff, patients, and vendors
  • Proven track record of developing and delivering effective training sessions for adult learners
  • Self-motivated with the ability to manage multiple projects simultaneously
  • Strong organizational skills and keen attention to detail
  • Uphold the highest standards of integrity, including handling confidential information
  • Demonstrated history of reliable performance and attendance
