About the Role

We’re looking for an office manager who has excellent organizational skills and a personable disposition to keep us thriving. The ideal candidate will have a natural flexibility in handling day-to-day routines as well as surprises to ensure that our office is running smoothly. The office manager will provide strong, reliable support for operations by creating procedures and by maintaining our facilities and employee safety. This person will also help us achieve organizational efficiency by nurturing a positive, inclusive work environment. Embracing a startup mindset, with a focus on agility, innovation, and a willingness to take initiative in a fast-changing environment will be key to success in this role.

What You'll Do

  1. Office Operations Management:
    1. Manage day-to-day office operations, including maintaining office supplies, equipment, and facilities. Develop office policies and procedures as needed to improve organizational efficiency.
    2. Act as the primary liaison to property management; coordinate with management regarding maintenance, janitorial and other building operations and services.
    3. Proactively maintain facilities matters, including responding to employee requests and reporting facility issues to building management.
    4. Own and maintain facility cleanliness, appearance, and functionality, including common areas such as lobbies, conference rooms, and kitchen cleanliness.
    5. Ensure consistent and timely stocking of food and beverage in all Highspot common areas and kitchens.
    6. Manage all aspects of space/infrastructure planning (ex: moves, additions, changes to workstations, developing a seating plan) and provide answers, resources, and solutions when requested.
    7. Foster a positive company culture by organizing morale events, team meetings, and social activities.
    8. Collaborate closely with HR and IT for new hire onboarding.
    9. Greet guests with promptness and enthusiasm, providing a great first impression of Highspot.
    10. Ensure a high level of customer service to our employees in the day-to-day operations of the office.
  2. Stakeholder collaboration and Innovation:
    1. Collaborate with key stakeholders and manage strategic projects and process building in hypergrowth.
    2. Anticipate the evolving needs of the office and adapt to changes in workflow, processes, and staffing. Support the implementation of new systems and tools that improve office efficiency as the company scales.
    3. Review and analyze occupancy data. Provide recurring updates to the leadership on workplace utilization across our global offices, to make informed decisions about space planning, facilities management, and preparing for future growth.
  3. Procurement:
    1. Ensuring compliance with internal procurement policies and supporting Procurement to help identify local suppliers, vendors, or service providers and establish relationships with them.
    2. Helping manage the procurement process, including preparing purchase orders, tracking deliveries, and verifying invoices.

Your Background

  • 4+ years experience in office management, administrative support, or a related role, ideally in a fast-growing company.
  • Strong organizational and multitasking skills with the ability to prioritize tasks and meet deadlines.
  • Excellent interpersonal and communication skills, both written and verbal.
  • Skilled at cultivating strong cross-functional relationships to promote collaboration and improve communication throughout the organization.
  • Proactive, problem-solving mindset, with an ability to thrive in a dynamic and changing environment.
  • Ability to work independently and handle confidential information with discretion.
  • Proficiency with office software (Microsoft Office), Google Workspace (Email, Calendar, Sheets, Docs), Slack and Zoom. Basic project management skills (Airtable, Jira) and data analysis skills (Excel, Tableau) preferred.
  • Experience with vendor management, purchasing from major vendors and event planning.

Base salary range: $80,000 - $109,000. Employees are eligible to receive stock options and may also receive other forms of compensation.

The above represents total expected compensation for this role. Actual compensation will depend on various job-related factors, including, but not limited to, location, experience, and job qualifications.
