At Hudson Pacific Properties, we provide best-in-class office space to the biggest names in tech and media (Netflix & Amazon), and we're seeking a Receptionist for our Bentall Centre office in Vancouver. The Receptionist is responsible for the professional and efficient management of day-to-day reception, administrative and operational duties including but not limited to, answering phones, reviewing and redirecting work orders, effectively maintaining the property directory for precise and real-time information; sorting and processing all incoming and outgoing mail, FedEx, UPS, including follow-through on delivery. This role represents the Company to internal staff, tenants, and service providers in a manner that is always professional, knowledgeable, tactful, poised, and efficient.
What You'll Do
- Greet and guide visitors, vendors, tenants, and clients as the first point of contact in the office, providing front desk service in person and on the phone.
- Streamline office operations including ordering food and supplies, handling incoming and outgoing mail, and creating organizational systems.
- Prepare and distribute notices and correspondence to tenants.
- Drive the implementation of recycling and green initiatives throughout the office.
- Assist with meetings and events including locations, catering, and greeting.
- Provide back-up support for property management teams as needed.
- Assist with updating HQO app and/or website content.
- Maintain up-to-date tenant contact lists, preferred vendor lists, and property directory. Manage postage machine maintenance and upkeep.
- Order catering as needed.
- Set up new vendors in the contract management system and assist with insurance compliance and other system requirements.
- Onboard new employees to ensure they are supplied with necessary items and tools to commence work.
- Maintain front desk aesthetics & upkeep of non-IT related equipment.
- Ensure boardroom A/V equipment is operational and call out for servicing and maintenance as needed.
- Assist with special events such as board meetings or VIP client arrivals.
- Provide back-up support to property management and operations.
- Miscellaneous duties as assigned.
What You'll Need
- Bachelor’s Degree in business or related field preferred.
- 1-2 years office administration or front desk experience required.
- Ability to exercise initiative and problem-solving skills.
- Extremely flexible, proactive, highly organized, and ability to shift priorities, multi-task, and handle heavy workflow processing under time-sensitive deadlines.
- Ability to work under pressure and manage competing priorities while staying focused and meeting deadlines without sacrificing accuracy.
- Excellent computer skills and demonstrated working knowledge of computers and software including MS Windows, Word, Excel, and PowerPoint.
- Strong verbal/written communication skills, with the ability to interact well with all levels of the corporation.
- Upbeat and confident personality.
- Polished professional demeanor with strong presentation and interpersonal skills.
- Ability to maintain confidentiality and follow through to complete tasks.
Salary Range: $25.00 to $30.00 Hourly CAD (subject to relevant experience).
