The Housing & Leasing Coordinator will be primarily responsible for the sales & marketing of the property, and to ensure optimal occupancy at all times. The Housing & Leasing Coordinator will process files/leases, manage the property, update and process tenant applications, answer questions for tenants, and other duties as assigned. The Housing & Leasing Coordinator must possess strong communication skills, both verbal and written, and demonstrate leadership. The Housing & Leasing Coordinator must have strong sales abilities, the ability to organize marketing efforts, and establish priorities consistent with company objectives.

2. Essential Functions and Basic Duties

Finance

  1. Maintain and control operational revenues and expenses
  2. Ensure that all collection and control procedures are followed relating to accounts receivable
  3. Ensure monthly and other requested reporting is completed accurately and on time

Sales and Marketing

  1. Oversee Sales & Marketing initiatives as it relates to the property
  2. Assess and develop target markets
  3. Provide direction for direct marketing initiatives for maximizing tenant occupancy
  4. Ensure the Property Marketing Plan and vision is up to date and fits with your current market area
  5. Creation and implementation of internal sales promotions for maximizing tenant occupancy
  6. Manage, maintain, and ensure success of all social media platforms hitting minimum posts and activity levels on a weekly/monthly basis

Human Resources

  1. Direct and supervise, maintaining strong communication with all staff members and internal departments at the property.
  2. Ensure legislated policies are followed, including Health & Safety

Administrative

  1. Maintain a detailed “Log” to communicate to others
  2. Ensure that a Complaint Log is utilized to properly document complaints and responses
  3. Organize the office to ensure all files and information are easily found
  4. Coordinate policy changes as they are released corporately.
  5. Draft and post building and tenant notices
  6. Ensure that the safety, well-being, and concerns of all tenants are being met in a respectful and efficient manner
  7. Ensure that all required tenant documentation is received
  8. Provide viewings to prospective tenants

Maintenance

  1. Inspect the properties regularly to determine required repairs, maintenance and capital improvements
  2. Monitor maintenance costs and compliance on contracts and respond to tenant and building maintenance requests
  3. Approval of all maintenance and repairs with vendors, and ensure that the property is being taken care of at all times and report preventative maintenance recommendations
  4. Perform monthly fire and generator testing and inspections
  5. Assist with painting and cleaning suites
  6. Responsible for the overall esthetic condition of the property (both interior and exterior) ensuring that snow removal and landscaping is being properly carried out
  7. Ensure that the property departments are well organized
  8. Understand their legal standings in all situations
  9. Ensure that all information requests and documents are dealt with immediately
  10. Any other duty as assigned by a Supervisor, Director or Executive Committee member
  11. Adapt to new ideas and emerging situations
  12. Ability to deal with high stress situations
  13. Strong understanding of the residential and condominium markets
  14. Strong foundation in leasing & lease negotiations
  15. Knowledgeable on the Residential Tenancy Act (RTA)
  16. After hours, on-call requirements and respond to all emergencies effectively and efficiently
  17. As required, report any suspicious activity and incidents in building, parking lot and perimeter of building

Health & Safety

  1. Require employees work in the manner and with the protective devices, measures and procedures required by the OHSA, regulations, and Campus Living Centres (e.g. wearing safety shoes, confining hair, jewelry or loose clothing around moving parts, etc.)
  2. Ensure the Personal Protective Equipment required for all subordinates' jobs is readily available, in good working condition and ensure usage is recorded
  3. Ensure all trainings required for each task are identified, documented, and readily available
  4. Ensure all WHMIS 2015 regulated supplies and SDS sheets are readily available
  5. Ensure hazard identification, labelling, and any additional chemical safety resources and documents are up-to-date and available for all workers

Performance will be primarily measured on the following factors:

4. Qualifications

Education: Recognized College Diploma or University Degree

  1. Skills/Abilities: Must possess verbal and written communication skills
  2. Must possess decision making ability
  3. Must be able to handle multiple projects at once
  4. Must be able to provide leadership to staff

Experience Required: Minimum of 2 years industry experience or equivalent administrative experience

5. Working Conditions

Hours per Week: 24 hours per week (may need to work more as required)
