We are looking for a Commercial Lease Administrator to join BrokerLink and work out of our Calgary office on a Permanent FT basis. The Lease Administrator will be responsible for providing leasing support, lease and corporate administration support, lease documentation, and reporting support for the company's national portfolio, predominantly focused on office.

What the Role Entails:

  • Year-end reconciliation (CAM/operating expenses, property taxes, insurance, parking) for over 200+ Canada-wide sites
  • Prepare, review, e-file and maintain accurate records of lease agreements
  • Ensure adherence to lease terms and regulations
  • Process new leases, extensions, amendments, and renewals
  • Track and manage tenant payments, including rent and other charges
  • Research, compile, and present market lease rates across Canada
  • Obtain updated RAN annually, prepare rent changes
  • Manage sub-leases
  • Landlord and property management communication
  • Completion of Lease Due Diligence and Integration for acquisitions
  • Negotiations and papering of lease buyouts
  • Preparation of paperwork for Tenant Inducements from landlord
  • On-site security arrangement when requested, submit monthly total report
  • Intact Green Initiatives Reconciliation and Reporting
  • Obtain lease-required documents
  • Communicate with landlord when discrepancies (i.e.: snow removal, utility payments) concerns or incidents take place at offices
  • Other duties as assigned

The Successful candidate will have:

  • Post-Secondary Education

Min. 5 years of experience in lease document administration within commercial real estate or relevant experience.

  • Detail-oriented and highly analytical – you can consider lease contents' legal, business, and financial implications.

Exceptional communication and interpersonal skills to effectively collaborate across all levels within and outside the organization.

Outstanding time management and organizational capabilities to coordinate multiple competing priorities and deadlines.

  • Knowledge of various functions within property management – i.e., taxation, building management, and provincial requirements
  • Insurance experience is an asset
  • Exposure to Epic is an asset
