What will you do?
Reporting to the Manager, Operations Finance, the Accounts Payable Coordinator will be responsible for the timely and accurate management of payables and ensuring the full A/P cycle is completed each month. Below are some of the primary responsibilities you will be taking on in this role:
- Effective management of A/P inbox daily
- Prompt response to vendor inquiries and communications
- Upload vendor invoices and associated documents accurately to Nexus
- Create comprehensive uploads for multi-line entry invoices in Excel and ensure precision and adherence to company standards
- Conduct a daily review of invoices, verifying proper references such as bill-to name, property ID, and other essential details
- Review outstanding Accounts Payable (AP) invoices daily, ensuring timely internal approvals and facilitating efficient payment processing
- Prepare weekly Electronic Funds Transfer (EFT) batches, cheque runs, and online payments, demonstrating attention to detail and accuracy
- Execute the monthly processing of national and provincial invoices with meticulous attention to accuracy and compliance
- Record manual payments and Pre-Authorized Payment (PAP) invoices, ensuring comprehensive documentation
- Apply manual tax adjustments with precision, maintaining compliance with tax regulations
- Review, investigate, and reconcile vendor statements regularly, identifying and resolving discrepancies proactively
- Respond to internal and external inquiries within a 24-hour period, maintaining effective communication channels
- Conduct a monthly review and cleanup of the Open Invoices List, ensuring accuracy and completeness
- Undertake additional ad-hoc administrative duties assigned by the Manager to support the month-end Accounts Payable close process
- Perform a monthly reconciliation of the 3rd party managed bank account, including reconciling journal entries as required
- Provide the Manager with comprehensive weekly updates on outstanding items, ensuring transparency and facilitating informed decision-making
- Ensure compliance with internal policies and external regulations in all accounts payable processes
- Assist in preparing documentation for internal and external audits, ensuring accuracy and completeness
- Collaborate with other departments, such as procurement and finance, to ensure seamless integration of financial processes
- Act as a liaison between accounts payable and other business units to address inquiries and resolve issues
- Actively contribute to process improvement initiatives, identifying areas for efficiency gains and implementing innovative solutions
- Stay informed about industry best practices and emerging technologies to enhance the overall effectiveness of the Accounts Payable function
- Ability to work individually and as part of a team
What type of experience and skills do you have?

- Possession of a post-secondary education at the college or university level
- Prior experience within the real estate investment or property management industries is a strong asset
