We are looking for an Immigration and Compliance Specialist based out of the St. Thomas, Ontario office.

The Immigration and Compliance Specialist plays a pivotal role in managing and coordinating immigration and visa requirements for the organization’s global assignees, international hires, and internal employees. This position ensures compliance with immigration laws and regulations while supporting travel visa requirements for business travelers, including external consultants and third-party suppliers traveling to Ontario, Canada. The role involves collaboration with HR, legal, and external vendors to ensure smooth, compliant global mobility operations.

This is a flex hybrid model, requiring 2 days in the St. Thomas office.

Primary Responsibilities:

  • Serve as the subject matter expert for all immigration and visa-related inquiries and issues, including global assignments, external hires, and business travelers.
  • Manage work permits, visa applications, renewals, and extensions for global assignees, international employees, and third-party consultants.
  • Support employees and contractors traveling to Canada by ensuring they meet travel visa requirements.
  • Work closely with legal, HR, and external immigration consultants to ensure adherence to immigration policies and procedures.
  • Regularly update relevant stakeholders about changes in immigration laws and ensure company compliance with all applicable regulations.
  • Oversee the submission and tracking of immigration-related documentation, maintaining accuracy and confidentiality.
  • Support global mobility programs by advising on immigration matters, including timelines and required documentation for international relocations.
  • Assist with internal audits and compliance reviews related to immigration and visa processing.
  • Develop and deliver training and communications to HR and employees regarding immigration processes and updates.
  • Maintain relationships with immigration authorities, embassies, and consulates to facilitate visa processes.

Desired Skills:

  • Bachelor’s degree in Human Resources, Law, Business Administration, or a related field.
  • Certification in immigration law or global mobility is a plus.
  • Minimum 3-5 years of experience in immigration or global mobility roles, with a focus on visa and work permit management.
  • Experience working with immigration authorities and external consultants.
  • Familiarity with Canadian immigration laws and business travel requirements.
  • Strong knowledge of immigration and visa processes, including work permits, visa renewals, and compliance regulations.
  • Excellent organizational and time management skills with the ability to handle multiple priorities.
  • Attention to detail and ability to manage complex documentation processes.
  • Effective communication skills, both written and verbal, to interact with internal teams and external stakeholders.
  • Proficiency in Microsoft Office and HR information systems (experience with global mobility platforms is an asset).
  • Problem-solving mindset with the ability to navigate regulatory changes and process improvements.
  • German language skills are considered an asset.
  • Ability to travel both within Canada/US and internationally up to ~ 20%
