The Payroll and Benefits Associate will serve as the in-house expert, ensuring accurate and timely payroll processing, compliance with state, federal, and provincial regulations, and adherence to company policies. This role also supports Accounts Payable and acts as a backup for the Office Coordinator when needed.

Primary Responsibilities:

Payroll Administration:

  1. Oversee the semi-monthly payroll for employees across multiple regions (British Columbia, Ontario, New York, Florida, Texas, Illinois, Connecticut, Arizona).
  2. Ensure compliance with federal, provincial, and state tax codes, benefits, and regulatory obligations.
  3. Set up and maintain payroll systems (pay codes, deductions, and tax tables) in Dayforce.
  4. Process payroll data from HR and communicate company-wide payroll deadlines.
  5. Investigate and resolve payroll discrepancies promptly.
  6. Prepare and distribute pay statements, employment verifications, and Records of Employment (ROEs) as needed.
  7. Manage year-end payroll processing, including T4s (Canada) and W-2s (US).
  8. Prepare and submit tax filings, Workers' Compensation, and other payroll-related reports.
  9. Handle payroll projects such as system improvements and integrations.
  10. Benefits administration for Canada and the USA.
  11. Process and code vendor invoices and employee expenses on time.
  12. Manage vendor information and tax compliance requirements.
  13. Process payments via various channels (EFT/ACH, wires, cheques, credit cards).
  14. Deposit cheque payments and maintain accurate records.
  15. Assist Corporate Accounting with audit requests related to invoices and payments.
  16. Provide back-up for Receptionist duties.
  17. Assist with maintenance and stocking of office supplies, including Café Trez and print areas.

Qualifications:

  1. Bachelor’s degree in Accounting, Finance, Business Administration, or related field.
  2. 2+ years of payroll processing and accounts payable experience.
  3. Proficient with payroll software, especially Ceridian Dayforce (preferred).
  4. Experience with accounting software (Microsoft Dynamics GP preferred).
  5. Certified Payroll Professional (CPP) or American Payroll Association (APA) certification (preferred).
  6. Experience in year-end payroll activities, including T4 preparation and reporting.
  7. Strong attention to detail and knowledge of payroll-related laws.

A competitive compensation package, discretionary bonus, RRSP matching (up to 5%) and health benefits. Base salary range is from $65,250 to $97,920, dependent upon qualifications and experience of the successful candidate.
