Job Description:

Our client within investment management requires an Executive/Personal Assistant/Office Manager to join their team.

Responsibilities:

  1. Personal Assistance:
  • Act as first point of contact for bookings, appointments, etc.
  • Coordinate deliveries and pick up of items both inside and outside of office.
  • Manage bookings for the family (travel, restaurants, personal appointments etc.).
  • Personal shopping both online and in stores (must have valid driver's license).
  • Correspondence with all vendors relating to house, cars, services, etc.
  • Executive Assistance/Office Manager:
    • Providing all and any support for two senior executives (calendars, phone calls, printing, expense reporting, presentations, running errands around the city, etc.).
    • Office duties include maintaining the upkeep of the office, and office/kitchen supplies.
    • Welcoming guests, offering drinks, and answering the main office phone line.
    • Pick up office mail, filing, corresponding with vendors.

    Qualifications:

    • Proven experience as an Executive Assistant, Personal Assistant, or Office Manager.
    • Strong organizational skills with the ability to multitask and prioritize in a fast-paced environment.
    • Excellent communication skills, both verbal and written, with a professional and approachable demeanor.
    • Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace) and ability to create presentations, reports, and manage calendars.
    • Ability to handle confidential information with discretion and integrity.
    • Valid driver’s license and willingness to run errands and handle personal shopping duties.
    • Experience in coordinating travel, managing bookings, and organizing appointments for executives and family members.
    • Exceptional attention to detail and ability to manage various administrative and personal tasks simultaneously.
    • Experience working with and managing vendors, including for household, office, and vehicle services.
    • Event planning and coordination experience, with strong organizational and time management skills.
    • Ability to maintain office upkeep, ensuring an organized and well-supplied workspace.
    • Strong interpersonal skills, with the ability to greet guests and handle inquiries professionally.
    • Ability to work independently and proactively anticipate the needs of senior executives.
    • Flexibility to adapt to shifting priorities and handle a wide range of responsibilities.
