Travel Requirement: Hours (subject to change)

37.5 hours per week (Monday - Friday); due to the nature of the position applicants must be flexible to work additional/varied hours as required.

Job Description

Sinai Health is seeking an exceptional and experienced manager in a health-related environment to assume the role of Business Manager, Laboratories.

In partnership with the Laboratory Leadership Team, the Business Manager is accountable for leading a team of staff in all aspects of billing and invoicing in Pathology and Laboratory Medicine and Microbiology departments. The successful candidate will work under the direction of Senior Lab Administration in ensuring prompt payments of laboratory fees and invoices and OH-CCO submissions for funding. They will participate actively in preparing proposals for clinical lab testing services, developing business cases, establishing and monitoring financial key performance indicators (KPIs). They will also assist in the preparation of annual departmental operating budgets and make presentations on financial and business matters to senior lab administration.

This role will act as the liaison between the diagnostic Laboratories and Finance Department in matters relating to aging accounts and billing contradictions.

In this role you will:

Operations Management

  • Manage day-to-day activities of the Pathology and Laboratory Medicine’s business unit to ensure efficient operations.
  • Oversee the recoveries of compensation, supplies, and reagents from contracted users.
  • Oversee the timely billing and invoicing of laboratory testing services using the hospital’s billing software.
  • Oversee database mining of laboratory tests for billing purposes, analyze to ensure accuracy and manage the data integrity of the billing master.
  • Oversee the data mining pull from the LIS using MRT or other programs for volumes and TAT for quarterly reporting to OH-CCO. Collaborate with the laboratory information system (LIS) team to ensure correct indications and requirements are captured in the MRT and have the Lab managers verify the data. Prepare trending reports for Senior Administration.
  • Oversee the data pull of workload statistics and KPIs for monthly reporting to Performance and the department.
  • Handle client escalation issues relating to billing and invoicing.
  • Develop pricing with the Lab managers for lab services and participate in the preparation of proposals for lab services.
  • Monitor the Business Unit’s workload and workflow and implement necessary process improvements where required.
  • Keep abreast with changes in technology within Pathology and Laboratory Medicine and Microbiology that may affect test pricing and laboratory services costs.
  • Communicate with laboratory clients and stakeholders regarding changes in laboratory fees, testing methodology that affect pricing, answering queries and/or follow-up of outstanding accounts, etc.
  • Liaise with Finance regarding aging accounts and billing contradictions.

Human Resource Management

  • Manage, coach, and mentor a team of employees comprised of Customer Service Coordinators, Billing staff, and Data analysts.
  • Participate in hiring of staff and ensure newly hired staff are appropriately trained.
  • Execute resource loading and balancing among team members.
  • Handle and maintain all laboratory services contracts and agreements ensuring renewal if applicable.
  • Ensure transfer of funds from clients if applicable and/or prompt payments of fees.
  • Oversee the annual renewal of MSH laboratory license with the Ministry of Health and prompt payment of fees; validate data pull and prepare trends for review.
  • Participate in the preparation of lab services proposals which includes responses to OH-CCO requests for proposals (RFP) and expressions of interest (EOI).
  • Prepare reports on lab revenues, test volumes, trends and make presentations to senior lab administration as required.
  • Participate in the preparation of annual operating budgets, monitor expenses and run rates.
  • Participate in the financial analysis of proposals for capital equipment and/or supplies.
  • Participate in the development of business cases and analysis of cost benefits.

Quality Management

  • Establish and maintain monthly performance metrics.
  • Implement standard work practices, instill accountability and address any issues relating to non-compliance.
  • Ensure compliance with relevant regulatory and accreditation requirements.
  • Develop the laboratory’s business unit’s policies and procedures, SOPs and ensure these are annually reviewed and updated.
  • Attend and participate in lab management meetings, departmental staff forums, and other departmental or hospital meetings as required.

Job Requirements

Mandatory

  • Successful completion of a bachelor’s degree or higher in business, health, computer science, or related field from an accredited educational institution.
  • More than 5 years supervisory experience in a laboratory or health-related field.
  • Proven financial experience as it relates to planning and accountability of financial resources and expenditures.

Skills and Knowledge

  • Proven knowledge of all aspects of laboratory technology in a hospital setting as it relates to the area of responsibility, including accreditation, licensing, and regulatory requirements.
  • Demonstrated strengths in planning, coordinating, implementing, and evaluating technical operations.
  • Proficient with MS Office software programs (e.g. Outlook, Word, PowerPoint, Excel, etc.) and is familiar with generative AI.
  • Experience analyzing financial business performance and developing business cases to lead change within the organization.
  • Excellent project management skills with a proven ability to plan, organize and coordinate various activities.
  • Exposure to Lean principles and a continuous improvement mindset with the ability to use these in support of improving the delivery of healthcare to patients.
  • Strong financial planning, analytical, and problem-solving skills.
  • Exceptional research and organizational skills with the ability to manage competing priorities in a fast-paced, time-sensitive environment with minimal direction.
  • Excellent written and verbal communication skills with the proven ability to clearly define and articulate requirements, priorities, impacts, and solutions.
  • Excellent networking and relationship-building skills with both internal and external stakeholders as a means to ensure ongoing process improvement and the achievement of performance targets.
  • Possesses a high level of accountability and proven capability to identify opportunities, take initiative and think through future implications.
  • Demonstrated commitment to professional and personal development.
