Scope

Project #1: SharePoint 2016 Migration to SharePoint Online (SPO)

The project team is planning to upgrade from SharePoint 2016 to SharePoint Online (SPO) for the Government of Alberta (GoA). Key responsibilities include:

  • Meeting with business Migration Leads to explain the use of the Migration Assistance Planner (MAP) tool.
  • The Collaboration and Content Management Services (CCS) team will perform all move, add, and change activities associated with SharePoint sites, including content migration.
  • Ministry partners will assess the current SharePoint site inventory and determine its end state.
  • CCS will evaluate sites with exceptions and develop transition plans to address them before migration.
  • CCS will decommission the SharePoint 2016 infrastructure following the migration.

Project #2: Cybersecurity Vulnerability Mitigation Program

This project aims to reduce cybersecurity vulnerabilities within GoA’s IT infrastructure by upgrading Microsoft (MS) servers that are at or near end-of-life support. Key responsibilities include:

  • Scheduling meetings with various Service Owners to determine planned start and end dates for server upgrades and decommissioning.
  • Conducting follow-up meetings to confirm timelines.
  • Ensuring the completion of server upgrades.

Duties

  • Coordinate and oversee the completion of IT projects, managing all aspects including deadlines, responsibilities, and project progress.
  • Build and maintain relationships with team members, vendors, and stakeholders, ensuring effective collaboration.
  • Prepare and present project status reports to upper management.
  • Develop project charters and business/project plans to support project activities, ensuring alignment with business objectives and data integrity.
  • Manage projects that document business requirements, design, and implement IT solutions compliant with the Ministries’ enterprise architecture.
  • Assist in developing recommendations related to resource requirements, dependencies, policy implications, and methodologies.
  • Prepare and present project deliverables to internal support teams, steering committees, and other stakeholders.
  • Oversee multiple projects, project resources, and project governance processes.
  • Ensure effective project communication, including risk escalation as needed.
  • Maintain client satisfaction by managing stakeholder relationships and resolving project challenges.
  • Collaborate with business and IT leadership to develop well-defined project plans, outlining objectives, scope, assumptions, timelines, resource requirements, risks, benefits, and budgets.
  • Establish a project organization structure with clearly defined roles and responsibilities.
  • Track and report project status against objectives, milestones, budgets, and resources, facilitating issue resolution.
  • Develop and monitor project schedules, estimate resource requirements, and implement corrective actions as necessary.
  • Provide guidance to project resources in prioritizing tasks and ensuring timely delivery.
  • Develop relevant documentation, including requirements and project-related materials.
  • Evaluate project outcomes in collaboration with sponsors, identifying areas for improvement for future projects.
  • Provide leadership and support for change management and communication efforts.
  • Adhere to project management office (PMO) standards and contribute to defining new standards when necessary.
