We are currently seeking a detail-oriented and proactive Office Administrator/Recruitment Assistant to support our recruitment team and ensure smooth office operations. This is an exciting opportunity for an organized individual who enjoys multi-tasking and is interested in developing a career in recruitment and administration.

Key Responsibilities:

Office Administration:

  1. Manage daily office operations, including answering phones, greeting visitors, and handling mail and deliveries.
  2. Maintain office supplies and coordinate with vendors to ensure a well-functioning workspace.
  3. Assist with scheduling and coordinating meetings, interviews, and other team events.
  4. Perform basic bookkeeping duties, including processing invoices and expense reports.

Recruitment Support:

  1. Assist the recruitment team with posting job ads, sourcing candidates, and coordinating interviews.
  2. Organize and maintain candidate databases, tracking applicant progress and updating records.
  3. Conduct initial phone screenings and pre-interview assessments for select roles.
  4. Support candidate communications, including scheduling follow-ups, managing interview reminders, and handling rejection notices.
  5. Coordinate recruitment events, such as job fairs or open houses, as needed.

Requirements:

Education & Experience:

  1. High school diploma or equivalent required; associate's or bachelor's degree in a relevant field is a plus.
  2. Previous experience in office administration or recruitment support is preferred.

Skills:

  1. Strong organizational skills with excellent attention to detail.
  2. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with Applicant Tracking Systems (ATS) is a plus.
  3. Strong written and verbal communication skills.
  4. Ability to multi-task and manage priorities in a fast-paced environment.
  5. Friendly, professional demeanor and a customer service-oriented approach.
