Full-Time Facilities & Maintenance Administrative Assistant

FTE: 1.0 FTE (35 hours per week) Full-Time Permanent

Palliser School Division is accepting applications for the permanent full-time position of Administrative Assistant to the Facilities Department. Reporting to the Facilities Manager, the Administrative Assistant is responsible for:
- Answering and responding to telephone inquiries
- Vendor contracts, ordering and invoice processing
- Project tracking and support
- Facility software systems support
- Other duties as required by the Facilities Manager
This position is located out of the Palliser Education Center in Lethbridge, Alberta, commencing January 27, 2025, or when a suitable candidate is found.
Qualifications
- Post-secondary diploma in a recognized administrative assistant program (i.e. Administrative Information Management Diploma or equivalent)
- Two years related administrative support experience in an office environment
- Experience with standard accounting software programs
- Experience with Public School Works, VFA or Edsembli an asset
- An equivalent combination of directly related post-secondary education and directly related experience may be considered.
Demonstrated Skills And Competencies
- High degree of proficiency in office computer applications such as word processing, spreadsheet, computerized accounting, database, publishing and presentation applications, electronic mail/calendar applications and other information management tools
- Strong data entry skills with an emphasis on accuracy

- Strong knowledge of office/records management
- Exceptional customer service orientation
- Strong time management, prioritization, multitasking and organizational skills
- Strong ability to adapt and manage change
- Strong interpersonal and strong verbal, listening and written communication skills combined with the ability to speak with confidence

In order to maintain a safe and secure working environment, applicants new to The Palliser School Division must provide:
- Criminal Record Check, including vulnerable sector check from Local Police Service or RCMP detachment
- Social Insurance Number (SIN) card or document issued by Service Canada; SIN card/document must be in current legal name. Name on SIN card/document must match your Government Issued ID and Criminal Record Check
- Government issued ID - valid driver's license, valid passport or Nexus card
