Required Position

Full-Time Term Appointment until December 2025

Responsibilities

Reporting to the Director of Service Excellence, the successful candidate will:

  • Gather information and data for the purposes of mandatory Collective Agreement reporting;
  • Support the Director, Faculty and Staff Relationships and Labour and Staff Relations Partners during meetings with staff, labour partners and other stakeholders;
  • Assist in preparing human resource and labour relations information and educational supports and materials for leadership clients;
  • In advance of arbitration/mediation or in response to grievance or collective agreement matters, assist in gathering information for briefs, files and/or reports for the Labour Relations team;
  • Research relevant Articles in the Collective Agreement, past practice and precedents on an ongoing basis to assist the team in ensuring proper and consistent labour practices;
  • Organize and maintain confidential files such as Minutes of Settlement, arbitration decisions, memorandum of agreements, etc.;
  • Upon direction from Labour and Staff Relations Partners, work with Finance, Faculties and other stakeholders to action items arising from agreements with labour partners;
  • Coordinate and schedule meetings;
  • Communicate in person, or via telephone, e-mail and written correspondence with individual staff and faculty, in response to certain inquiries, and/or as referred by the Director, Faculty and Staff Relationships or the Labour and Staff Relations Partners;
  • Maintain a database of processes and procedures to establish/maintain a record of matters arising from collective agreements;
  • Maintain and update website content with relevant labour relations information;
  • Develop and maintain systems and lists for the effective keeping of personnel records and all other records pertinent to labour and staff relations issues including archives; maintain documentation system;
  • Calculate sabbatical credit and stipends for Chairs/Directors and prepares resulting documentation;
  • Maintain an all-encompassing grievance tracking list and prepare grievance reports for leadership and/or the Board of Governors;
  • Maintain and update seniority lists in accordance with the collective agreements;
  • Perform other duties as assigned.

Qualifications

  • Minimum three (3) year post-secondary certificate or diploma in a related field such as Human Resources;
  • One (1) to three (3) years related experience preferably in Human Resources;
  • Experience working in a post-secondary institution and/or in a unionized environment will be considered an asset;
  • Interest in successfully completing the academic requirement for the Certified Human Resources Professional (CHRP) designation considered an asset;
  • Assertive and able to problem solve and resolve conflict;
  • Strong attention to detail;
  • Exceptional customer service skills;
  • Interpersonal skills, with the ability to build rapport with a diverse group of individuals. Able to deal courteously and effectively with people at all levels;
  • Ability to prioritize and organize in a fast-paced, high volume environment;
  • Able to maintain a high level of confidentiality;
  • Able to work independently and take initiative as well as perform effectively as a member of a team;
  • Oral and written competency in both official languages (French and English) is required;
  • Strong computer skills, with experience with Google Suite, Zoom, Word, Excel, email, tracking systems, etc.

The official University hours of operation shall be from 9:00 a.m. to 4:30 p.m., Monday through Friday, during, and including, the months from September to April, and from 8:30 a.m. to 4:00 p.m. Monday through Friday during and including May to August, amounting to thirty-three and three-quarter (33.75) hours per week.
