The Opportunity
Are you a tech-savvy Executive Assistant with extensive experience supporting senior leadership teams? We are seeking an exceptional Executive Assistant to join our global energy production company at our Calgary head office. If you have excellent attention to detail, high proficiency in professional communication, and superior organizational skills, we want to hear from you!
You will provide coordination, planning and administrative support to our President and CEO, Executive Committee, and Board of Directors You will handle confidential information with discretion and play a crucial role in ensuring effective communication. You will join an organization that values its people and provides work with purpose.
What you will do
Provide administrative support to the CEO and CFO including calendar management to ensure effective meetings, alignment with priorities, and travel co-ordination
Board management including agenda preparation, travel co-ordination, material management in Diligent software, meeting logistics, board dinners and record management
Work with the administration team to help manage workloads and ensure priorities are aligned
Prepare briefings and reports for board meetings and other high-level discussions
Help coordinate Executive Committee events to foster alignment and strong corporate culture
What you will bring
Minimum 10 years’ experience as an executive assistant supporting an executive leadership team in oil and gas or similar industry
Extensive experience working with Diligent Board Books, SharePoint and SAP / Concur
Advanced proficiency with the Microsoft Office Suite of programs
Demonstrated exceptional communication, organizational, and time management skills
Ability to maintain confidentiality and exercise sound judgement
Strong collaboration skills that enable you to build positive relationships with diverse groups
Ability to seamlessly adjust to changing situations and priorities
Ability to anticipate potential problems and a strong sense of accountability
A continuous improvement mindset
A post-secondary education would be considered an asset
