Job description

Marshall Canada requires a Program Coordinator in Ottawa, ON to join our team. Reporting to the Program Manager, Planning and Control, the Program Coordinator will be responsible for the Planning and coordination of high-profile defense programs, ensuring collaboration between stakeholders, adherence to schedules and appropriate documentation and controls.

Your responsibilities in this role:

  1. Collaborate with program managers to create, maintain, and update detailed project schedules.
  2. Track project milestones and deliverables, flagging potential risks or delays.
  3. Provide support in defining project roles, responsibilities, and action plans to ensure alignment and accountability.
  4. Organize and facilitate all program meetings virtually and onsite.
  5. Compile, analyze, and present project metrics using data visualization tools (e.g., Power BI).
  6. Prepare project status reports, including schedule performance, resource usage, and key performance indicators.
  7. Maintain program dashboards and ensure accurate data entry into project management tools.
  8. Coordinate change requests and support the implementation of the change management process.
  9. Update schedules and documentation to reflect scope changes.
  10. Maintain organized, detailed project documentation, ensuring all communications, approvals, and records comply with applicable defense standards and regulatory requirements.
  11. Conduct periodic audits of project records to verify compliance and recommend corrective actions.
  12. Facilitate communication between internal and external stakeholders, ensuring alignment on project objectives and progress.
  13. Provide clear, concise updates on project status, risks, and resolutions to all relevant parties.
  14. Work closely with cross-functional teams, including IT, Data Analytics, and Operations, to align project solutions with organizational goals.
  15. Participate in meetings, stand-ups, and reviews to ensure project transparency and stakeholder engagement.
  16. Identify and implement available technologies to improve project workflow and decision-making.
  17. Leverage automation to streamline workflows, communication, analyze data, and enhance team productivity.
  18. Other duties as assigned by the Program Manager, Planning and Control.

Apply if you have most of the following:

  1. Bachelor's degree in business administration, or a related field. (Or equivalent)
  2. 3+ years of experience in project coordination or a similar role, preferably within the defense, aerospace, or engineering sectors.
  3. Demonstrated experience in leveraging technology to enhance project processes is highly desirable.
  4. Proficiency in project management tools (e.g., MS Project, Smartsheet).
  5. Strong organizational and time-management skills, with exceptional attention to detail.
  6. Excellent communication skills and the ability to work effectively with cross-functional teams.
  7. Knowledge of project management methodologies (e.g., Agile, Waterfall) is a plus.

Must be eligible to meet the requirements of export control regulations, including the Canadian Controlled Goods Program and Canadian government security requirements.
