As part of the Wajax team, the Administrative Assistant / Receptionist is responsible for greeting onsite visitors to the branch, answering phones, and transferring calls to appropriate departments. The incumbent will also be responsible for a variety of general duties to assist in the day-to-day office administrative requirements including ordering office supplies, distributing incoming mail, mail merges for outgoing mail, and preparing various documents within Word, Excel, and PowerPoint.
The Role
- Greets visitors, customers, and vendors
- Answers the telephone
- Manages incoming/outgoing mail
- Prepares estimates as required and obtains purchase order numbers
- Responds to customers in a timely manner, delivering strong internal and external service
- Checks customer accounts and sets up new accounts as required
- Maintains strong communication between technicians, administration, parts, and customers
- Posts time to work orders and completes payroll
- Builds and maintains strong customer relations including interacting directly, booking appointments, obtaining purchase orders, and handling inquiries
- Takes customer calls and schedules technicians for service work as required
- Ensures open lines of communication are maintained between the customer and service/parts department throughout the work order process as needed
- Monitors shop job statuses and workflows for repair jobs, ensuring adherence to processes, timelines, estimates, and schedules, and reports to the service manager
- Issues internal MRO purchase order numbers and tracks and receives vendor invoices
- Performs any other duties assigned
- Flexibility is required during specific high-demand periods
The Candidate
- Education: College diploma / Post-secondary Education
- Work Experience: Previous office administration experience (2-3 years)
- Knowledge: Industrial background, with health, safety, and ISO
- Proficiency: Microsoft Office, including Outlook, Excel, Word, and PowerPoint
- Basic knowledge of heavy equipment is an asset
