The Alma Mater Society (AMS) is the University of British Columbia’s (UBC) student society, working to improve the academic, social, and personal lives of the 56,000 UBC students at its Vancouver campus. The AMS runs nine food and beverage outlets, a catering and conference operation, and the AMS Student Nest, providing on-campus employment opportunities and generating revenue that supports UBC students.

Employee Status: Term, Appointed

Anticipated Start Date: January 2025 - April 2025

Compensation: $21.77 per hour

Description:

The AMS Student Services Marketing and Administrative Coordinator is responsible for the marketing and promotional plan, as well as administrative and communication tasks for AMS Services. The Coordinator will collaborate with the Assistant Manager, Student Services Manager, Coordinators, Assistant Coordinators, and the AMS Marketing and Communications department to develop, coordinate, and implement outreach and marketing plans for AMS Services.

The Coordinator will assist the Assistant Manager on various projects and initiatives involving the Services portfolio, including special projects, software implementation, marketing and outreach initiatives, internal team building, professional development, stakeholder engagement, strategic planning, financial management, and research.

The Coordinator will work with all relevant stakeholders to ensure that AMS Services continue to offer accessible, relevant, and reliable services to the UBC community.

Duties and Responsibilities:

  • Oversee and manage the marketing and administrative functions of AMS Services under the guidance of the Assistant Manager.
  • Engage, support, and coordinate with the Services team to develop, strategize, and implement a marketing and promotional plan.
  • Coordinate with the AMS Marketing and Communication team on AMS Services marketing projects.
  • Undertake marketing and administrative tasks to ensure smooth operation of the department’s activities.
  • Manage AMS Services spreadsheets, databases, and inventories with statistical, financial, and non-financial information.
  • Assist with promotional events and traditional/digital campaigns with the Services team.
  • Conduct assessments of the Services’ progress and work with the AMSS, Coordinators, and Assistant Coordinators to increase outreach and engagement.
  • Research innovative ideas and provide recommendations to improve Services overall.
  • Provide administrative support for efficient operation of the department (e.g., budgeting, communication).
  • Assist in planning AMS Services events and workshops.
  • Participate in regular meetings with the AMS Services team and the Assistant Manager.
  • Prepare reports, including monthly usage reports and a year-end report, along with a transition package for the next Coordinator.
  • Operate within the AMS mission statement and values to ensure departmental success.
  • Other duties as required.

Qualifications:

  • Must be a currently registered student at UBC Vancouver.
  • Strong interpersonal and communication skills.
  • Strong organizational and time-management skills.
  • Enthusiastic, adaptable, open-minded, and eager to get involved.
  • Comfortable working independently and being a self-starter.
  • Previous involvement in on-campus initiatives is preferred.
  • Knowledge of AMS Services and resources is an asset.
  • Familiar with Microsoft Office, WordPress, and willing to learn new software.
  • Experience with marketing and outreach efforts is an asset.
  • Comfortable working within an anti-oppression framework to create a positive space for all.
  • Ability to work flexible hours and adjust schedule based on the needs of the Services.
