This position has primary responsibility for providing day-to-day administrative support to the Faculty, manager, Department Head and Instructors. The position provides a wide variety of administrative support services, all of which contribute to the efficient and professional operation of the department. It is expected that the incumbent is well organized and possesses excellent time management skills.
Major Accountabilities/Responsibilities:
- Organizes courses and workshops that are required as part of the massage therapy program on an ongoing basis.
- Organizes and schedules First Aid for students and staff, must be the point of contact and go-to person on the day of the workshop.
- Sets up skills labs and any workshops as needed on campus with the Faculty Manager.
- Performs general administrative duties such as word processing, filing, answering phones, photocopying, faxing, creating and retrieving correspondence for the Faculty Manager and Instructors.
- Acts as the 'go-to' person for instructors daily when they require last minute assistance on administrative tasks.
- Availability via email or phone for support is essential, and physical presence on campus is required for all shifts.
- Creates a monthly schedule based on the Master Calendar and availability of rooms, staff.
- Assists Faculty Manager in scheduling room assignments and staff coverage.
- Updates schedule with changes due to illness/vacation or any other last minute events.
- Communicates with faculty staff regarding availability.
- Assists in data collection and collating of information including the use of the internet and other resources.
- Schedules faculty in the Dayforce Time and Attendance system.
- Assists with arranging materials/supplies and room assignments needed for exams.
- Provides classroom schedules to various departments.
- Ensures inventory stock of supplies and materials for Faculty is completed once a month.
Education and Experience:
- A diploma or Certificate in Administration is considered an asset.
- Minimum two years of related experience.
- Experience in an office environment within an educational institution is considered an asset.
- Proficient in Office 365 and MS Office skills (Excel, Word, PowerPoint).
