Job description

Basic Purpose of Position:

To provide administrative support to the Director, and team, Line Maintenance while consistently ensuring a high level of confidentiality. The most important part of the job is to coordinate and participate in line maintenance related activities as required, to ensure a high level of knowledge.


Key Responsibilities:

  • Maintain, update, and manage calendar for Director, Line Maintenance.
  • Provide support to the Administrative Coordinator, Line and Labour Relations, as well as support Administrative Assistants, Line Maintenance and Jazz Technical Services (JTS).
  • Schedule meetings, book rooms, and take minutes for select meetings.
  • Arrange hotel bookings, travel, and car rentals when required.
  • Assist with assignments, presentations, and reports when needed.
  • Update Kronos (time & attendance) exceptions for ATS and Management group, as well as assist with Toronto (YYZ) union payroll.
  • Create vacation schedules for select managers and supervisors.
  • Assist in managing parking and visitors’ badges for visitors at YYZ Offices.
  • Fire warden for Airways Centre building, which includes training and participation in test fire drills.
  • ATS Occupational Safety & Health (OSH) representative at the local level in YYZ. Attend monthly meetings, take minutes, update the matrix and correspond with team members.
  • Monitor and manage Uniform Inbox and follow through on queries, requests and reports.
  • Assist, attend and participate in Maintenance and corporate Jazz events.
  • Posting Maintenance Memos on JazzNet when requested by departments and review and update procedures and assisting with training.
  • Create and update banners on the Maintenance and Engineering page.
  • Order and monitor supplies.
  • Other related duties as assigned.
  • Perform duties in accordance with established policies and procedures while giving primary consideration to personal safety, and the safety of co-workers and customers.

Qualifications:

  • A high school diploma is required.
  • A post-secondary degree/diploma in a related field is preferred.
  • A minimum of 3 years of previous experience in a related field is required.
  • Interpersonal skills.
  • Time management and organizational skills.
  • Strong knowledge in Microsoft Office platforms (Excel, Word, PowerPoint).
