About the Position
Focus on the Family Canada is seeking a dynamic part-time Administrative Assistant to support our Executive Team. The ideal candidate is an energetic and engaging administrative professional who wants to contribute to the mission of Focus on the Family Canada. You should be comfortable multi-tasking and maintain a sense of perspective when under pressure.
Key Responsibilities:
- General Administrative Support
- Attend to all matters with a high degree of confidentiality and discretion within and outside the office.
- Maintain cleanliness and stock levels in the second-floor copy room and oversee office supplies.
- COO and CMO Support
- Manage the calendar, travel, and email correspondence for the COO and CMO, prioritizing urgent matters.
- Prepare and submit the monthly expense reports and budget reconciliation.
- Organize and manage daily devotions, monthly Brunch & Learns, and monthly Chapels.
- Plan, schedule and organize management meetings.
- Prepare for and take detailed minutes during Leadership Team and other key departmental meetings.
- Coordinate the completion of the Monthly Management Team Reports.
- Prepare, edit, and format documents, reports, and presentations.
- Maintain accurate records, databases, and filing systems (both digital and physical).
- Assist in compiling data and reports for executive and board meetings.
- Chief Financial Officer Support
- Participate as a member of the Health & Safety Committee.
- Manage the new employees' orientation schedule.
- President's Office Support
- Serve as a backup to the Executive Assistant to the President during absences.
- Provide hospitality services during Board Meetings.
- Participate as a member of the Social Committee.

Qualifications
- Post-secondary education in administration or a related field preferred.
- 2-3 years of experience in an administrative or executive assistant role.
- Advanced skills in Microsoft 365 and familiarity with project management tools.
- Typing speed of at least 60 words per minute.
- Excellent written and verbal communication skills.
- Willing to use your vehicle for local travel.
- Active participant in the organization’s devotions and chapel time.
