Job Overview:
Kutlesa Dental has been serving the Stoney Creek area for over 28 years. The practice is dedicated to modern techniques and technologies for comprehensive dental care. The mother-daughter dental combination offers general dentistry services and emergency services.
The practice is looking for an experienced, full-time Office Manager to manage the day-to-day operations of the dental practice, ensuring efficient administrative processes, smooth workflow, and exceptional patient care. This role combines leadership, organization, and communications skills to manage staff, finances, and office systems effectively.
Key Responsibilities:
Office Administration:
- Dental supplies inventory management and tracking
- Manage daily operations, including opening and closing procedures
- Maintain compliance with regulatory standards and protocols
- Optimize and oversee office management systems and software, including recommending new software where appropriate
Budget and Financial Oversight:
- Oversee billing, invoicing, and insurance claims processing
- Manage patient payment plans
- Address billing discrepancies
- Monitor office budgets and manage expense reports
- Track revenue targets and identify areas for financial growth
- Manage procurement process, ensuring accurate vendor invoicing and selecting best vendors
Patient Relations
- Maintain financial transparency between patients and practice
- Ensure excellent patient experiences by addressing concerns and improving processes
- Oversee scheduling, reminders, and patient follow-ups done by Receptionists
- Coordinate with dentists for seamless patient care
- Manage patient inquiries and feedback
- Establish a plan to create patient loyalty and trust, including online reviews
Staff Management
- With time, hire, train and manage scheduling of office staff
- Create and manage staff scheduling, including vacations
- Provide oversight of front desk, including reviewing patient scheduling
- Provide coaching as needed
- Oversee setting of monthly goals
- Foster a positive and professional team environment
Qualifications
- Proven experience in dental or healthcare office management
- Proficiency in dental management software and general office tools
- Experience with ABELDent is considered an asset
- Knowledge of insurance and billing processes is essential

Compensation:
Salary: $29-$36/hour, depending on experience
Vacation: 4% vacation pay
Benefits: Health Spending Account, starting at $1,500 and increases with seniority
