Job description

A prominent CEO is seeking a highly organized, proactive, and adaptable Executive Personal Assistant to provide seamless support within a prestigious family office. Reporting to the Senior Manager, this in-person role involves managing executive administration, household operations, and family-related responsibilities, ensuring every detail is handled with precision and discretion. This is a fast-paced, hands-on position requiring exceptional multitasking skills, schedule flexibility, and an unwavering commitment to service. The ideal candidate thrives in dynamic environments, anticipates needs before they arise, and delivers the highest standards of service and professionalism.

What You’ll be Doing:

  • Manage calendars, appointments, and scheduling for both personal and business matters, including managing enrollments and key commitments
  • Executing the regular activities of 2 children, ages 14 and 9, and 1 dog, including preparing and driving the children to school, camp and/or other extracurricular commitments on assigned days
  • Light housekeeping (i.e., tidying of home, garbage/recycling)
  • Coordinate the planning and logistical arrangements for meetings and events
  • Completing cheque requests, monthly credit card expenses, and expense reporting

The ideal candidate must be highly adaptable and responsive, with the ability to gracefully navigate last-minute changes and shifting priorities. Flexibility in working hours is essential, as is the capacity to remain calm and confident under pressure. Reliability is paramount; promptly responding to texts, emails, and phone calls with efficiency and professionalism. A polished demeanor, utmost discretion, and commitment to confidentiality are key to success in this role. Additional responsibilities include, but are not limited to:

  • Holding a valid driver’s license with an excellent driving record
  • Must have a reliable and insured vehicle
  • Meticulous attention to detail
  • Manage inbound and outbound communications through text, email and telephone
  • Basic Microsoft Suite skills
