Operations Manager
The Operations Manager is responsible for the efficiency of property operations, tenant satisfaction levels, tenant retention and building operating costs for the assigned property(s).
Key Responsibilities include:
- Responsible for the overall day-to-day operations of the building systems and all aspects of the physical asset of the assigned portfolio, including supervising the day to day work activity of all Building Operators.
- Support the team to ensure department operating objectives are achieved.
- Use development, mentoring and coaching techniques to build a strong team.
- Train building operators on the mechanical building management systems.
- Under the direction of the Property Manager implement 5-year capital plan.
- Responsible for the procurement of all supplies and services required for the smooth operation and maintenance of the properties, including but not limited to HVAC, maintenance, Inventory control, etc. within the guidelines of the current budget.
- Assist management team with the preparation of the operating cost portion of the budget and as required providing commentary on variances for monthly reporting.
- Ensure compliance of company safety, environmental, code compliancy with authorities having jurisdiction, and insurance policies and programs.
- Research, evaluate and update or improve building operating procedures and develop Standard Operating Procedures.
- Be familiar with actual expenditures vs. budget amounts on monthly basis as well as annual budget amounts for accounts pertaining to the physical operation of the property.
- Assist operations team with construction inspections for both Tenant & Landlord work and report finding.
- Provide drawing reviews for Tenant & Landlord renovations and ensure any necessary changes are implemented.
- Operate and manage tenant work order system and work order reporting and invoicing.
- Monitor and maintain building Fire Plan and Building Contingency Plan. Appoint, list and arrange for training of Emergency Response Team, Fire Wardens, organize fire drills and inspect and test life safety equipment.
- Be knowledgeable and enforce building and fire codes, safety act, WHMIS, etc.
- Regularly inspect the property, address any issues that arise, and provide written building inspection reports commenting on all operation aspects of the property.
- Ensure that the terms of service contracts are followed and be familiar with all contracts in place for building systems.
- Monitoring assigned property(s) for cleanliness, reporting any issues with tenants, contractors, or others and assist with resolving any issues.
- Organize and maintain all maintenance and compliancy reports.
Job Qualifications:
- Business Degree with an RPA or CPM, or BES or equivalent designation.
- Minimum 5 years experience in Real Estate Management.
- Technical, mechanical and coordinating skills.
- High level of communication and negotiating skills.
- Excellent planning, observing and organizing skills.
- Ability to work well with others and develop cooperative working relationships.
- Ability to lead, direct and work within a team environment.
- Self-motivated and positive attitude.
