The Role

As an Event Coordinator at Athennian, you will be responsible for executing high-impact, intimate activations across major markets in Canada and the U.S. This role is ideal for someone who thrives in a fast-paced environment, is highly organized, and enjoys delivering seamless event experiences that foster customer engagement and brand presence.

With strong attention to detail and the ability to manage multiple events simultaneously, you will orchestrate activations that create meaningful touch points with key stakeholders. Your ability to coordinate logistics, manage vendors, and ensure flawless execution will be instrumental in delivering high-quality experiences that drive business impact.

Key Responsibilities:

  • Lead exclusive, high-impact activations across major cities in Canada and the U.S., with a focus on intimate, high-touch experiences (vs. large conferences).
  • Plan and execute small-scale activation dinners and curated events, fostering meaningful connections with customers and prospects.
  • Own event logistics from venue selection and vendor coordination to catering, transportation, and on-site execution.
  • Manage timelines, budgets, and guest lists, ensuring seamless experiences that align with business objectives.
  • Collaborate with internal teams (Sales, Marketing, Partnerships, Customer Success) to maximize engagement and event impact.
  • Build strong relationships with venues and vendors to deliver high-quality, tailored experiences.
  • Serve as the go-to event lead, troubleshooting challenges and ensuring flawless execution.
  • Oversee travel and logistics, coordinating activations across multiple regions.
  • Capture insights and refine strategies, continuously optimizing events to enhance customer engagement.

What You Bring:

  • 3+ years of experience in event coordination, experiential marketing, or a similar role with a focus on customer-facing activations.
  • Exceptional organizational skills and ability to juggle multiple events in different locations simultaneously.
  • Strong problem-solving abilities, with a proactive mindset in handling unexpected challenges.
  • Excellent communication and relationship-building skills, with the ability to engage customers and stakeholders effectively.
  • Comfort with extensive travel across North America, often on short notice.
  • Experience managing budgets, contracts, and vendor negotiations.

Location

This is a remote-first role, but extensive travel is required across Canada and the U.S. Candidates must be legally eligible to live and work full-time in Canada or the U.S.
