Administrative Assistant

We are seeking a dedicated and detail-oriented Administrative Assistant to assist one of our lawyers. The ideal candidate will provide marketing, business development, and administrative support to one of our lawyers.

This role will be crucial in maintaining the efficiency of the lawyer’s practice and delivering high-quality service to our clients.

Key Responsibilities:

  1. Handle the full range of logistic and administrative support required for the lawyer.
  2. Assist with completing marketing-related onboarding and offboarding checklists for the lawyer.
  3. Coordinate meetings, reservations, and event logistics, including ordering meals and setting up/taking down event space.
  4. Review and update content in the firm’s brochure for accuracy.
  5. Lead execution of all the firm’s events, including ticket distribution and food/beverage arrangements.
  6. Assist the lawyer with business development initiatives, including reporting on social media trends, assisting with proposals, reformatting documents, and managing intake inquiries.
  7. Maintain and manage client lists in the firm’s system and follow up on events.
  8. Assist the lawyer with real estate work (as needed).
  9. Perform clerical duties such as filing, photocopying, and scanning documents.

The successful candidate will have a minimum of ONE YEAR experience in an office or business environment and will possess the following additional skills:

  1. Ability to communicate in Mandarin would be an asset.
  2. Ability to communicate in Korean would be an asset.
  3. Experience with business development/marketing within the Chinese/Korean community would be an asset.
  4. Experience with LawyerDoneDeal or PC Law would be an asset.
  5. Diploma in business development or marketing (significant experience would be acceptable in lieu of formal training).
  6. Exceptional writing skills including proper grammar, spelling, and punctuation with a solid understanding of general business correspondence formats.
  7. Ability to multitask, prioritize, and manage multiple projects while maintaining a process-oriented, collaborative approach.
  8. Naturally client-focused and solutions-driven, with a positive and proactive attitude.
  9. Excellent organizational skills with the ability to prioritize tasks and manage time effectively.
  10. Availability to work off-hours or travel for various events as needed.
  11. Professional demeanor with a mature attitude, strong work ethic, and ability to handle stress, tight deadlines, and competing priorities.
  12. Strong written and verbal communication skills, with professional presentation and business acumen.
