Position SummaryHuman Resources Assistant, Human Resources: As a Human Resources Assistant, you will provide support through the administration of the day-to-day operations as it relates to receiving, responding to and redirecting employee/staff inquiries. You will be responsible for data entry and retrieval. You will be responsible for scheduling and coordinating appointments for the Chief Human Resources Officer; assist the Manager, Human Resources and Manager, Labour Relations with administrative activities that serve to support the operation of their respective units, and, other duties consistent with secretarial responsibilities for a program area. You will also be primarily responsible for coordinating interpretation service appointments for the hospital with external interpretation and translation partners. You are highly organized, able to succeed in a fast paced and high volume client facing environment, and are eager to engage with new challenges every single day. You also have excellent interpersonal and customer service skills, are able to work independently and are able to effectively prioritize and multi-task. You will also take on the shared responsibility for ensuring that health and safety policies are followed to provide for a healthy environment for patients, staff, physicians, volunteers and families.
On a practical level, you will- Provide clerical support to the HR department by receiving inquiries by way of telephone, email and walk-ins and communicating details with appropriate HR staff as part of issues management workflow; maintaining equipment and supplies; organizing and completing invoices and expense forms for payment processing.
- Interface between staff and HR associates; review/access in HRIS to complete employee requests.
- Organize, coordinate and manage interpretation and translation services by scheduling appointments with external interpreters and hospital program areas/staff. This includes reconciling invoice charges relating to interpretation appointments, regular database management (incl. data entry), and monthly data compilation and reporting.
- Coordinate and schedule appointments and activities for the Chief Human Resources Officer and, where feasible, for Manager, Human Resources and Manager, Labour Relations.
- Provide general support for hospital events organized by People Services team (i.e. Staff BBQ and annual awards).
- Assume HR Associate duties during absences (i.e. seniority lists, ONA forms).
Qualifications- Completion of related Post-Secondary Diploma/Certificate or a combination of relevant experience and education.
- Working-level knowledge of MS Office applications including Word and Excel, PowerPoint, Outlook.
- Experience working with Human Resources Information Systems.
- Experience working as a receptionist and/or in clerical functions in a setting serving the public and staff.
- Ability to adapt seamlessly to fast-paced work setting to meet immediate targets and timelines.
- Strong verbal and written communication skills.

This is a Full-Time Temporary position (6 Months), 8 hour shifts, 75 hours bi-weekly, Monday to Friday in the Human Resources department. The Human Resource Assistant is required to work on-site at Human Resources offices located at 2 Buchan Court, during designated business hours. Remote or hybrid work arrangements are not available for this position. We offer a highly competitive total compensation package that includes benefits and pension.
