JOB OVERVIEW
Ontario Power Generation (OPG) is looking for a dynamic, strategic and results-driven professional to join our team in the role of Executive Administrative Assistant.

Reporting to the Vice President, Supply Chain, this position is responsible for supporting the Vice President with calendar management, travel arrangements, expense reconciliation, and regular day-to-day assistance with administrative duties within the organization. In addition to supporting the VP, the successful candidate will also be required to offer support to the VP’s directors.

KEY ACCOUNTABILITIES

  • Correspondence with internal and external stakeholders regarding a variety of topics including meeting arrangements, information requests, and confidential matters.
  • Arrange meetings at an executive level including inviting the required parties, arranging for meeting rooms, preparing and uploading agendas, and taking minutes when required.
  • Time management for the VP, including assisting with setting priorities, e-mail review, project timelines, target completion dates, and having visibility into urgent or upcoming matters.
  • Book travel arrangements accordingly and ensure expenses are reconciled properly, following all standard procedures.
  • Act as a liaison for the VP with staff, including employees from other business units and employees within the same business unit.
  • Perform other administrative duties as required to support the team.

QUALIFICATIONS

  • Completion of Grade 12
  • Minimum 3 years of experience in an administrative support role.
  • Exceptional organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • The ability to prioritize and manage multiple tasks and deadlines in a fast-paced environment.
  • High level of discretion and confidentiality.
  • Strong problem-solving skills and the ability to work independently.
  • Excellent interpersonal skills and the ability to work effectively with all levels of the organization.

This position is moving to OPG Corporate Headquarters: In Summer 2025, OPG will officially welcome employees to our new Corporate Headquarters located at 1908 Colonel Sam Drive, Oshawa, Ontario. This position will be temporarily based in Ajax, ON until the move to Headquarters in the Summer of 2025.
