The Document Controller is responsible for managing the lifecycle of project documentation to ensure accuracy, accessibility, and compliance with company and client standards. This position works closely with Procurement, Construction, and Project Management teams to provide seamless documentation control and support. The Document Controller will play a key role in maintaining organized project files, ensuring adherence to quality standards, and supervising document control staff to foster a collaborative and efficient work environment.

Primary Responsibilities:

  • Establish and maintain project requirements and file systems.
  • Write project-specific Work Instructions and sections for the Project Execution Plan (PEP).
  • Collaborate with Procurement, Construction, and Project Management teams to align documentation processes.
  • Generate weekly project status and documentation reports.
  • Attend and actively participate in project and departmental meetings.
  • Process engineering documentation and track client-reviewed materials.
  • Log, track, and manage client standards and documentation.
  • Coordinate vendor drawings and documentation routing.
  • Oversee workload distribution and provide training and supervision for document control staff.
  • Compile and assemble Vendor Equipment Data Manuals.
  • Reconcile project documentation across client systems, CAM systems, and archive originals.
  • Define staffing roles, responsibilities, and staffing plans, including forecasting manhours.
  • Foster a team-oriented atmosphere while evaluating document control staff performance.
  • Advise supervisors on training needs and provide recommendations for improving quality, productivity, and adherence to deadlines.

Qualifications:

  • Minimum of 5 years of experience in document control, preferably in an engineering or industrial setting.
  • Strong understanding of engineering documentation and the ability to read and interpret technical drawings.
  • Proficiency in software such as Lotus Notes, Adobe Acrobat, Microsoft Word, and Excel.
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication skills, with the ability to interface effectively with cross-functional teams.
  • Demonstrated ability to lead, train, and supervise document control staff.
  • Familiarity with project lifecycle documentation and records management best practices.
  • Experience in vendor coordination and document reconciliation is a strong asset.
  • Knowledge of quality assurance and continuous improvement techniques.
