Job Description

The Director, Resource Management is a strategic leader role responsible for optimizing the allocation of creative talent, managing workflows, and ensuring efficient resource utilization within our internal creative agency. This role plays a crucial part in aligning creative capabilities with major marketing initiatives through the creation of project plans, fostering collaboration, and maximizing the agency's creative output. This role will help organize the project through dependencies, major milestones and stakeholder check-ins, in addition to coordinating input from all contributing parties. In partnership with internal stakeholders, this role will help advance marketing initiatives from conception through to execution.

The Director, Resource Management will support our internal creative agency (Loblaw Agency) and the Social Media Centre of Excellence. This role will report directly to the Sr. Director, Agency Operations & Resource Management and indirectly to the Sr. Director, Social Media COE.

What you’ll do:

Resource management

  1. Lead a team of resource managers/specialists, who strategically allocate creative personnel to projects based on skillsets, project requirements, and team availability.
  2. Balance workloads across different creative teams to ensure optimal resource utilization and timely project delivery. Monitor project pipelines to identify potential resource constraints and proactively address capacity challenges.
  3. Collaborate with brand managers and agency operations leads to serve as a bridge between creative teams and project stakeholders to assess resource needs and align with project timelines.
  4. Develop and implement processes to streamline creative workflows, enhancing efficiency and minimizing bottlenecks.
  5. Continuously evaluate and improve resource management processes to align with industry best practices and agency goals.

Annual scoping and forecasting

  1. Lead annual and ongoing resource planning and budgeting, in collaboration with Finance teams on cost reallocations and assist with finance specific asks as it impacts resource costs (forecasts, budgeting, billing, etc).
  2. Analyze historical data and project pipelines to forecast future resource needs and anticipate potential gaps.
  3. Develop and maintain reporting mechanisms to track resource utilization, project efficiency, and team performance (FLOAT). Contribute insights to budgeting and resource planning discussions to support strategic decision-making.
  4. Introduce new tools or methodologies to enhance visibility into resource allocation and project tracking.

Contractor recruitment and management

  1. Support Hiring Managers with onboarding contractors across Loblaw Agency and Social Centre of Excellence.
  2. Manage vendor/freelance sourcing, onboarding (ATS and vendor procurement).
  3. Oversee contractor onboarding & contract administration: Manage the contractor onboarding process, ensuring all necessary paperwork (contracts, NDAs, etc.) is completed accurately and in a timely manner.
  4. Maintain a centralized database of contractor agreements, rates, and contact information.
  5. Track contract start and end dates, and initiate renewals or terminations as needed.

What you’ll need:

  1. Bachelor's degree in Business, Marketing, Communications, or a related field; Master's degree is a plus.
  2. Significant experience (8+ years) in resource management, project management, or related roles within a creative agency setting.
  3. Strong leadership and team management skills, with a track record of effectively guiding and developing creative teams.
  4. Excellent organizational skills, attention to detail, and ability to manage complex project pipelines.
  5. Exceptional communication and interpersonal skills to collaborate with diverse stakeholders.
  6. Familiarity with project management software (Workfront), collaboration tools, and resource management systems.
  7. Strategic thinking and problem-solving abilities to navigate dynamic resource demands and project challenges.
  8. Creativity and innovation mindset, with the ability to introduce process improvements and streamline workflows.
  9. Analytical skills to interpret data and insights for resource planning and reporting purposes.
  10. Experience in creative processes, design principles, branding, and marketing concepts.
  11. Proven ability to thrive in a fast-paced environment while maintaining a positive attitude.
