Your opportunity:
The Director, Office of the Dean is responsible for supporting and tracking the strategic implementation of Faculty-wide strategic initiatives and cross-organizational special projects established by the Dean and Vice-Deans. The Director is responsible for managing and supporting a wide range of high level and confidential activities related to the Dean and Vice Deans’ portfolios including taking a lead role in the execution of complex initiatives; consulting with individuals and groups to address specific topics and to provide advice and feedback to the Dean and Vice Deans; and, to help ensure appropriate implementation of University of Toronto and Rotman policies and procedures.

The Director works in close partnership with the Dean and Vice Deans to manage and participate in complex and politically sensitive special projects of the Dean’s Office; respond to issues and processes and manage matters on behalf of the Dean’s Office; and, keep the Dean and Vice Deans apprised of key activities within the Faculty and the University community. Based on gaining in-depth knowledge of the Rotman School’s complex operations, goals, policies, protocols and mandate in its entirety, the Director assesses and resolves issues, or directs/re-directs, as appropriate, prior to issues being directed to the Dean. The Director provides senior level support and advice by helping to implement the strategic priorities and directions set by the Dean and Vice-Deans and is a key point of contact within the Dean’s Office maintaining senior level relationships with the broader university community and external stakeholders.

The Director, Office of the Dean will have managerial oversight for selected functions that are cross-cutting and require significant coordination across the School as determined by the Dean. In line with this, the Director will have managerial oversight of Rotman’s Equity, Diversity and Inclusion Office and is responsible for overseeing the implementation of broader EDI and Indigenous initiatives at the Rotman School, consistent with the direction set out by the Dean. There may be other cross-organizational functions added to this managerial oversight over time depending on evolving needs and the Academic Plan of the School.

In addition, the Director will have managerial oversight of the Manager, Academic Administrative Services who oversees the administrative staff supporting the Academic Areas and Centres and Institutes.

The duties of the position are complex due to the breadth of scope of the Rotman School, the Office of the Dean and the interactions between the Rotman School of Management, the broader University community and other groups.

The Director is required to use initiative, strong judgment and analytical skills in handling enquiries independently or referring them appropriately. As a representative of the school, the Director is required to exercise a high degree of sensitivity, responsiveness, and confidentiality regarding sensitive issues.

The role requires a high level of initiative, responsibility and informed judgment, and responsiveness, as well as exceptional communication and interpersonal skills to be an effective representative of the Dean and to ensure that governance processes are followed and that the strategic priorities of the Rotman School, the Dean, and the Dean’s Office are met.

Essential Qualifications:

  1. EDUCATION:
    Post graduate degree (Master’s or PhD) or an equivalent combination of education and experience. Extensive knowledge of policies and protocols within a university setting.
  2. EXPERIENCE:
    10+ year’s senior level management support experience in the education, government or private sector working in complex organizations. Project management experience and expertise required. Comprehensive understanding of universities from a number of diverse perspectives. Understanding of university governance, educational priorities, policy formation, legal obligations, reporting requirements and planning protocols. Demonstrated experience in liaising with senior administrators, responding to and handling matters of a complex, confidential, and sensitive nature. Demonstrated experience implementing or managing EDI initiatives and in navigating complaints and sensitive issues relevant to the Dean’s Office. Experience applying and working with policies, procedures, and employment agreements. Proven experience establishing and maintaining effective office systems and protocols in a complex, high-volume setting. An excellent understanding of the objectives of the Faculty and an ability to effectively grasp and implement the priorities of the Dean. Experience in supporting and developing outreach and external engagement strategies for a senior leader.
  3. SKILLS:
    Excellent computer skills: MS Office; database management. Demonstrated superior writing, speech writing and editing skills. Strong analytical, problem solving and decision-making skills. Supervisory experience and experience in problem identification and resolution in non-supervisory capacity.
  4. OTHER:
    Highly professional with demonstrated ability to manage sensitive matters with all levels of University faculty and administration. Strong research, writing, social media, speech writing, communication, and presentation skills. Strong leadership skills with ability to engage, secure support, commitment, and results from others. Political acumen and strong judgement skills. Evidence of strong ability to build partnerships within the business and academic communities. Proven ability to lead projects, accomplish set objectives and achieve results based on understanding of established goals. Proven ability to manage and implement large strategic goals and objectives. Excellent analytical and strategic planning skills, strong organizational, planning, coordination, and interpersonal skills. Demonstrated customer service orientation. Knowledge of legislation and best administrative practices. Strong tact, judgement, and problem-solving skills; ability to take initiative and work independently under minimal supervision; tact and discretion in dealing with difficult, confidential or sensitive situations; ability to work collaboratively as part of a broader team and serve. Exceptional interpersonal skills, tact and diplomacy; relationship building skills. Strong initiative with ability to lead and drive to completion a variety of projects, assignments, and deadlines. Demonstrated ability to research, analyse, make recommendations, and assess options. Ability to work under the pressure of multiple deadlines and conflicting priorities.
