Seeking a Director of Operations to oversee and manage the daily operations of the company and the properties under management. This role is pivotal in maintaining smooth business functions, streamlining processes, and leading a team of property managers, accountants, and administrative staff. The ideal candidate will have a strong background in property management, experience managing teams, and the ability to implement strategic initiatives that drive efficiency and growth. This is a high-impact leadership position based in TMR, Montreal, with an opportunity to scale the team as the company continues to grow. This is an on-site role.
Key Responsibilities:
- Oversee the daily operations of the company and the properties under management.
- Maintain a deep understanding of each employee's responsibilities (TDL and KRA) and ensure accountability on a daily, weekly, and monthly basis.
- Prioritize workloads among employees, ensuring efficiency and productivity.
- Attend meetings with the President, take notes, and ensure action items are executed effectively.
- Conduct walkthroughs of all buildings to assess maintenance needs and establish action plans.
- Develop and manage yearly budgets for each property, including additional expenses where applicable.
- Supervise and support a team of eight employees, including AP, AR, Accounting, Data Entry, and Project Managers, with a focus on growing the team as the company expands.
- Ensure maximum utilization of software programs such as HOPEM, Building Stack, PO System, and Acceo, while training employees to become proficient in these tools.
- Oversee project managers, review major issues, and ensure proper execution of project plans.
- Develop and maintain structured calendars and task lists for each employee with clear timelines.
- Implement cost-effective procurement strategies for janitorial supplies and maintenance materials.
- Conduct property walkthroughs every two months, with additional site visits during major renovations.
- Track and categorize upgrade expenses efficiently, ensuring better financial oversight.
- Maintain direct communication with property owners regarding refinancing, budgets, and work progress.
- Establish training tutorials for all office and project processes.
- Implement long-term operational improvements, including centralizing service call processing and hiring in-house plumbers, HVAC technicians, and exterminators to generate additional revenue.
- Ensure a 100% success rate on PDA (Preventive & Deferred Maintenance Analysis).
- Analyze income and expenses across all projects, with a particular focus on R&M, payroll, and office expenses.
- Develop a comprehensive tutorial system for each property containing all key operational details.
- Maintain an up-to-date supplier list and schedule for yearly maintenance.
- Implement preventive maintenance procedures as part of daily operations.
- Secure all key systems, passwords, and sensitive company data in a protected and accessible manner.
- Ensure employee contracts are current and aligned with company policies.
- Standardize operational norms across all managed properties to ensure consistency and efficiency.
- Ensure the company bills for additional work outside of standard management contracts.
Qualifications & Experience:
- Minimum 5 years of experience in office management, preferably in property management.
- Strong leadership skills with the ability to manage and scale a team.
- Highly organized, detail-oriented, and proactive in problem-solving.
- Strong multitasking ability across multiple businesses and projects.
- Excellent communication skills in both English and French (written & oral).
- Adaptable, efficient, and results-driven, with a strong sense of urgency.
- Ability to implement strategic processes and drive operational improvements.
- Self-starter with a go-getter mentality, capable of handling challenges independently.
Compensation:
- Salary: $100,000 - $150,000 CAD per year
