The Role
We are seeking a Regular Full-Time, Director of Clinic Services (FTE 1.0). Reporting to the Chief Executive Officer and working in collaboration with other executive team members and the operations team, the Director of Clinic Services is accountable for the overall management and strategic direction of EFW’s Marketing and Referrer Relations, Clinic Support Services, Central Booking, Facilities Management, and quality assurance of imaging equipment.


The Director inspires and leads their team to ensure that the strategic objectives and operational plans are carried out to provide a seamless, efficient and effective delivery of services in keeping with EFW’s core values and areas of strategic focus. The Director works as a team player with colleagues in building a culture of continuous improvement focused on providing an exceptional patient and referrer experience.


As the Director of Clinic Services you are constantly communicating with business leaders, team members and important stakeholders. Having the ability to clearly convey your thoughts and listen to others is crucial for your success in this role. Along with needing verbal communication skills, you need excellent written communication skills. You will be responsible for composing company-wide announcements and sending important emails to business contacts.


Key Responsibilities

  • Leads the referrer and patient experience portfolio, to create company-wide goals to improve both the referrer and patient experience. Ensures that operations are effective and streamlined and in alignment with EFW Values, operating principles and strategic objectives.
  • Oversee the internal and external marketing and promotion of our practice with vision and insight supporting the development of marketing campaigns, maintaining strong public relations and brand image, in alignment with the EFW’s mission, vision and strategic goals.
  • Builds relationships with Community Partners and manages corporate sponsorships in alignment with EFW’s Giving Philosophy.
  • Works to establish the operational framework and infrastructure needed to support service delivery plans, and allocates and manages all human, financial, and capital resources promoting an exceptional patient experience for all EFW patients.
  • Ensures that all patient support services adhere to required clinical professional practice standards; federally and provincially regulated statutes; as well as internal policies and procedures to ensure patient safety and clinical compliance.
  • Oversees the quality assurance program, ensuring that a preventative maintenance and quality control system is in place for EFW’s diagnostic imaging equipment and assets, in accordance with all applicable regulatory standards.
  • Oversees the facilities department ensuring the upkeep and maintenance of EFW clinics. Ensuring the clinics is safe, functional, and meets the needs of the clinical staff. Works with operations and contractors to project manage the design and build out of new clinics or renovations. In collaboration with the Director of Finance, develops and monitors the operating and capital budget for patient support service departments using appropriate forecasting, costing, clinical and workload data to ensure that financial objectives are met.
  • Evaluates the effectiveness of marketing, patient and clinic initiatives and seeks mechanisms to ensure that standards are consistently met.
  • Effectively manages feedback, complaints and critical incidents related to referrer and patient experience and facilities, ensuring that issues are fully investigated in accordance with EFW policies and procedures.
  • Adheres to all privacy and confidentiality policies and procedures as they relate to EFW, our patients and our employees.
  • Perpetually improves customer satisfaction and works to both build and sustain internal and external brand loyalty.
  • Identify problem areas within the company, including operational inefficiencies; bottlenecks, safety workflow issues; and/or other areas of concern; and collaborate with key stakeholders to find solutions for them.
  • Performs other related duties as required.

Leadership

  • Communicates clear strategic vision and establishes clear and realistic expectations to engage and inspire team members.
  • Provides coaching, development and mentorship in day to day activities and responsibilities of the team and provides on-going support and guidance to the team as necessary.
  • Manages performance of direct reports including motivating team members to achieve goals and objectives, and holds them accountable to those goals. Conducts performance reviews; holds regular performance check-ins, and regularly communicates performance expectations for all direct reports.
  • Creates a collaborative workplace that encourages employees to realize their potential and create a career with meaning.
  • Promotes a sense of community across the organization.
  • Recruits and retains a highly cohesive and engaged management team including selection of new team members.

Minimum Qualifications

  • An undergraduate or master’s degree in business administration or a related field along with a minimum of 10 years of progressively senior management/leadership experience within a healthcare setting. Experience leading marketing, community engagement, and referrer relations is an asset.
  • Direct supervisory experience leading and managing a diverse team of professionals is required.
  • Ability to build a strong and cohesive team; inspire a shared vision and align performance goals and objectives and work collaboratively with other departments and modalities.
  • Ability to encourage managers to realize their potential by creating an environment receptive to creativity and visionary thinking and actively supporting ongoing learning and professional development.
  • Superior conflict management skills along with the ability to negotiate or facilitate the resolution of issues and disputes.
  • Strong data and financial analytic ability; natural problem-solving abilities including deep business / operational acumen with a focus on planning, execution, forecasting and budgeting.
  • Exceptional interpersonal skills and ability to work as part of a team.
  • Ability to establish rapport with all levels of staff including clerical, technical, and physicians.

Working Conditions

  • The incumbent will work in an executive role and must be able to balance the ongoing pressures of competing work priorities and deadlines.
  • Flexible working hours to meet the demands of the position.
  • Able to work at any EFW location and provide own transportation.
  • Able to spend prolonged periods at a desk utilizing a computer and monitor and performing other close visual work as required (sitting, handling, touching, finger dexterity).
