The Cool Aid Dental Clinic works in association with the Victoria Cool Aid Society, providing full dental services for adults that have multiple barriers to accessing dental care. The dental reception position is a rewarding opportunity to work in the non-profit sector with an emphasis on providing affordable dental treatment for those who are on a fixed income or have Ministry coverage. The receptionist will be a valued part of a cheerful team that is passionate about making a difference in the community.
The Dental Receptionist works in a supportive capacity with other members of the dental clinic team. Responsibilities include maintenance of client records, booking appointments, billing, maintaining and balancing cash records, receiving and providing information to clients and the public, understanding government and carrier benefit guidelines and providing clerical support.
The successful applicant will have the ability to organize work, manage time and carry out the duties of the position with independence. In addition, they will have experience in clinical or other settings that include clients who come from diverse ethnic and socio-economic backgrounds all while maintaining sensitivity towards the needs of all patients.

Qualifications:
- Completion of Grade 12 plus a minimum of one year of dental reception or Certified Dental Assistant training.
- Ability to manage both paper and electronic information effectively and communicate well both orally and in writing.
- Experience that includes:
- Familiarity with the Tracker system and/or other dental software programs.
- Skills in assisting with sterilization would be an asset.
- Excellent interpersonal communication skills and the ability to maintain good working relationships with colleagues.
- Ability to function and work cooperatively with several dentists and as a member of an interdisciplinary team, and with members of the community.
Responsibilities:
- Provides reception services for the dental clinic, including answering all phone calls, making appointments, taking and relaying messages and booking appointments for referrals. Confirms appointments on a daily basis; organizes charts for the day’s patients; enters and updates patient information.
- Processes payments and insurance claims and forms, including receiving and recording payments for dental services and bulk insurance payments; balancing and reporting the Daily Bank Deposit.
- May assist with month-end reconciliation and statistics.
- Determines and confirms insurance benefits, explains insurability or costs to patients and assists with billing.
- Performs clerical duties including organizing current and dead files; maintains office supplies and performs other related duties when appropriate, including chairside assistance if qualified.
- Communication and information sharing, participates actively in staff meetings, discusses inquiries for information with internal and external contacts, answers routine inquiries and refers questions to the appropriate person if necessary.
- Acts within the spirit and intent of the Society’s Code of Professional Conduct.
Requirements:
- Complete the Ministry of Public Safety and Solicitor General Criminal Record Check.
Job Information:
- Hourly Wage Rate: $27.63 - $29.87.
- Work Days: Tuesday, Wednesday, Thursday, and Friday.
- Work Time: 8:30 am to 4:30 pm.
- Weekly Hours: 30 hours per week.
- Union Exempt.
