Job Summary:
We are seeking a Dental Practice Manager with a solid background in dental practice management, emphasizing strong numerical, leadership, and accounting skills.
The Dental Practice Manager is responsible for overseeing the daily operations of the dental office, focusing on enhancing operational efficiency, optimizing revenue generation, and ensuring exceptional patient care.
This role requires a leader with proven experience in managing financial operations within a dental setting or medical/healthcare setting. The successful candidate will work closely with the Inventory Management Manager, Business Operations Manager, and Clinic Operations Manager, as well as leading the clinic.
The candidate for this role will be accountable for budgeting, financial reporting, cost control, and compliance with regulations and best practices set by the RCDSO. Reporting to the Business Operations Manager and Clinical Operations Manager, the Dental Practice Manager will also be responsible for creating and maintaining performance dashboards to ensure accountability across the department.
Key Responsibilities:
Leadership & Administrative Management:
- Team Leadership: Supervise, mentor, and develop the administrative team, including receptionists, billing staff, and office coordinators. Collaborate closely with the Clinical Operations Manager (COM) for the clinical team.
- Operational Efficiency: Work with both the Business Operations Manager (BOM) and COM to streamline administrative workflows, improving efficiency and reducing costs.
- Compliance & Regulation: Collaborate with the BOM and IPAC officer to ensure adherence to all relevant healthcare regulations and standards in Ontario, including RCDSO guidelines.
Revenue Optimization:
- Revenue Cycle Management: Oversee the entire revenue cycle, including patient billing, insurance claims, and collections, ensuring timely and accurate processing.
- Budgeting & Financial Planning: Assist in implementing budgets, cost control measures, and revenue enhancement strategies for the practice. Manage financial reporting and work closely with the Inventory Management Manager to ensure accurate financial management.
- Service Optimization: Identify and implement new services or products to increase revenue while maintaining or improving the quality of patient care.
Patient Retention & Growth:
- Patient Retention & Growth: Develop and execute strategies to enhance patient retention, acquire new patients, and improve patient satisfaction ratings.
Strategic Planning & Business Development:
- Business Growth: Partner with the BOM and COM to identify opportunities for practice expansion and new revenue streams.
- Marketing Strategies: Collaborate with the marketing team to implement campaigns aimed at increasing patient volume and brand visibility.
- Partnership Development: Build and maintain relationships with external partners, including suppliers, insurance companies, and local businesses, to support growth initiatives.
Dashboards & Accountability:
- Performance Tracking: Work with the BOM and COM to manage dashboards that monitor key performance indicators (KPIs) related to administrative functions, patient satisfaction, revenue, and operational efficiency.
- Accountability Framework: Establish and maintain an accountability framework within the administrative team, ensuring all members understand their roles and responsibilities in achieving practice goals.
- Data-Driven Decision Making: Utilize dashboard data to inform decision-making processes and report regularly to the BOM and COM.
Patient Experience & Quality Assurance:
- Patient Care Standards: Ensure that all patient interactions are conducted with the highest level of professionalism and care, aligning with the practice’s commitment to exceptional service.
- Feedback Management: Implement systems for collecting and addressing patient feedback, using insights to drive improvements in service delivery.
- Quality Assurance: Regularly assess and refine administrative processes to enhance the overall patient experience.
Qualifications:
Education:
- Education in the dental field (Dental Administration, Dental Assisting, or Hygiene) is required.
- An advanced degree or certification in practice management is a plus.
Experience:
- Minimum of 3 years of experience in a management role within a dental or healthcare setting, with a focus on administration and revenue cycle management.
Skills:
- Strong leadership and team management abilities.
- Excellent communication and interpersonal skills.
- Proficient in financial management and budgeting, with a strong emphasis on numerical and accounting skills.
- Experience with dental practice management software and tools.
- Ability to manage performance dashboards effectively.
- Strategic thinker with a proven track record of implementing revenue growth initiatives.
- Comprehensive understanding of healthcare regulations and compliance requirements in Ontario, including RCDSO guidelines.
- Proven ability to manage financial operations, including budgeting, financial reporting, and cost control.
