EIPS is recruiting a permanent full-time Custodial and Grounds Maintenance Coordinator with our Facility Services department.

Elk Island Public Schools Central Services building is located in Sherwood Park, at 683 Wye Road. Providing services for the Division, Central Services is comprised of eight departments, in addition to the Board of Trustees. The departments include Education Executive, Communication Services, Facility Services, Student Transportation, Human Resources, Financial Services, Supports for Students and Information Technologies. Central Services is staffed by 190 employees.

Function and Purpose of Position

Under the general supervision of the Assistant Director of Facilities, the Custodial and Grounds Maintenance Coordinator is responsible for managing facilities contracts, including custodial services, grounds maintenance, and snow removal for schools and Central Administration Buildings. The role ensures high-quality service delivery and compliance with contract terms, division standards, and OH&S legislation. Additionally, the coordinator supports the Purchasing and Contract Services (PCS) team in the procurement process for maintenance and operations contract awards.

Duties and Responsibilities

  • Contract Management: Collaborate with the EIPS Purchasing department to manage the tender process, vendor vetting, cost analysis, and contract awards. Monitor performance metrics for vendor evaluation and contract compliance for custodial, grounds, snow removal, and facility maintenance services. Ensure services meet operational needs and budgetary constraints while addressing issues with contractors, school staff, and the public.
  • Maintenance Coordination: Manage high cleaning services for specialized areas and respond promptly to school staff custodial requests. Collaborate with external vendors for specialized custodial and grounds maintenance services as required.
  • Contract Administration and Budget Management: Assist in monitoring the annual budget for custodial and maintenance services, ensuring compliance with financial guidelines. Track expenditures, review invoices, and approve details accordingly. Oversee the procurement of custodial supplies to stay within budget constraints.
  • Staff Supervision: Supervise the Facilities Assistant to ensure effective and efficient operations. Coordinate with custodial contract companies to ensure service standards are maintained across schools and address any performance issues.

Education and Experience

Education:

  • Minimum Required: Certificate in Building Service Worker, High School Diploma
  • Preferred: Certificate in Contract Administration, Certificate in Project Management, supplementary courses in custodial practices, grounds maintenance, and leadership.

Experience:

  • Minimum Required: Minimum of five years experience in a facilities services environment with at least three years in a supervisory role.
  • Preferred: Experience in snow removal and grounds maintenance contract administration.

Skills, Qualifications, Certifications or Designations

  • Minimum Required: Valid Alberta Drivers License with a clean drivers abstract.
