PROFILE

Gowling WLG’s Ottawa office is currently seeking two Corporate Clerks for our Business Law Corporate Services group. The successful candidates will support the ongoing digitization of a corporate minute books project which involves the adoption of the Athennian work-flow software product. The Corporate Clerks will be responsible for ensuring the integrity of the corporate data which is saved in iManage and entered into Athennian, review various available sources of corporate data to capture all relevant information, arrange for that information to be saved appropriately and cause the appropriate subset of that information to be recorded in Athennian such that the record in Athennian can be confirmed for each corporation, and will liaise with the Corporate Clerks responsible for each corporation as their work progresses.

This position is a contract opportunity for up to 12 months. There is flexibility to work full-time or part-time hours. Remote work is an option.

RESPONSIBILITIES

  1. Review various sources of corporate data to capture relevant data.
  2. Saving relevant data using iManage and Athennian work-flow software.
  3. Liaising with the Corporate Clerks responsible for the various corporations as work progresses.
  4. Ensuring the currency and integrity of the corporate materials saved in iManage and Athennian.
  5. Facilitating the “confirmation” of each record completed in Athennian.
  6. Exercising discretion and judgement when reviewing and organizing documents and materials within iManage and Athennian.
  7. Performing ongoing quality control throughout.
  8. Organizing, labeling and filing of electronic files in accordance with established saving and naming protocols.
  9. Act as a go-to person for staff for status of corporate files within the digitization process.
  10. Scanning of documents as required.

QUALIFICATIONS

  1. Law Clerk diploma coupled with a minimum of three years legal experience as a Law Clerk/Paralegal in the Province of Ontario.
  2. A minimum of three years of experience in an office environment handling corporate and/or governance documents, and working with corporate minute books.
  3. Advanced knowledge of Microsoft Office Suite, iManage and Nuance PDF or Adobe Acrobat.
  4. Experience with Athennian or similar corporate database, such as EnAct, GlobalEnact or Alf, is an asset.
  5. Comfortably communicate with internal resources in order to take instructions, obtain required information and report on status.
  6. Ability to work well in a team environment, employing good communication and social skills.
  7. Strong written and verbal communication skills.
  8. Ability to multi-task within a fast-paced environment.
  9. Strong organizational and administrative skills.
