What Will You Do

The Coordinator, HR Operations & Payroll plays a vital role in managing and executing core HR functions, including payroll administration, employee lifecycle transactions from onboarding to offboarding, and maintaining accurate HR records. In conjunction with our Coordinator, HR Operations this role also serves as a primary point of contact for employees, addressing inquiries related to payroll, benefits, HR policies, and other employment matters, ensuring a seamless and exceptional employee experience. Additionally, the Coordinator, HR Operations & Payroll provides essential support to the broader People team by assisting with HR initiatives, compliance efforts, and process improvements to enhance overall operational efficiency.

The People Systems and Total Rewards team plays a critical role in optimizing how we manage and reward our Crew. This team ensures that our HR systems run smoothly and that our compensation, benefits, and rewards programs are competitive and aligned with our business goals. With their expertise, they ensure our Crew is supported with the right tools, recognition, and rewards to succeed.

What Are Some Of The Responsibilities

  • Payroll Administration
    • Support the Payroll & Benefits Specialist in processing biweekly payroll, reviewing timesheets, and verifying accuracy (including hours worked, overtime and pay premiums) for excluded, bargaining unit, and hourly employees.
    • Investigate payroll discrepancies, coordinate resolutions, and respond to employee inquiries about compensated-related matters (payroll, tax withholdings, direct deposits, and other).
    • Assist in preparing and validating payroll reports (including earnings, deductions, taxes, and benefits), support tax filings, garnishments, and maintain confidential payroll records.
    • Assist with payroll system upgrades, process improvements, and support internal and external audits.
    • Prepare payroll-related filings and documentation, such as year-end tax statements, pension reports, and Records of Employment.
  • Employee Lifecycle Coordination
    • Support onboarding and offboarding processes, including preparing offer letters, conducting background checks, and coordinating activities with internal and external stakeholders.
    • Act as the first point of contact for HR inquiries, resolving basic issues and escalating complex matters as needed.
    • Track and document employee lifecycle changes, such as probation periods, promotions, and role transitions, ensuring accurate record-keeping.
    • Process and maintain pension and benefits transactions, including enrollments, changes, and terminations, while ensuring compliance with policies and regulations.
    • Facilitate seamless employee transitions by managing onboarding materials, updating HRIS, and coordinating with Operations, Accounting, and IT for payroll setup and system access.
  • HR Operations & Compliance
    • Maintain and update employee records in the HRIS (Ceridian Dayforce), ensuring accuracy, confidentiality, and compliance with relevant regulations.
    • Manage People Team correspondence, including emails, letters, and memos, ensuring timely responses and proper escalation of inquiries when necessary.
    • Document critical HR operations processes and administration guides to support consistency and efficiency.
    • Generate regular HR reports and dashboards (e.g., headcount, turnover, compliance metrics) to support management decision-making.
    • Conduct periodic audits of HR records and processes to ensure accuracy, compliance, and alignment with company policies.
  • Employee Relations
    • Prepare and distribute key employment documents, including contracts, onboarding materials, and benefits information.
    • Act as a primary contact for People Team-related inquiries, assisting in conflict resolution and supporting internal communications to reinforce company culture and values.
    • Provide guidance to employees on HR policies, payroll, and benefits, ensuring clear communication and prompt issue resolution.
    • Foster positive employee relationships by delivering exceptional service and support.
    • Collaborate with the broader People Team to develop and implement initiatives that enhance employee experience and workplace satisfaction.
What Do You Need To Bring
  • The ability to gain and maintain a RAIC (RAIC Program and Application Information)
  • Post-secondary education in Human Resources Management, Business Administration, Finance, or a related field.
  • 1–3 years of experience in Human Resources, Payroll, or Benefits Administration.
  • 1–3 years of experience working with payroll systems (experience with Ceridian Dayforce is an asset).
  • Strong understanding of HR processes, including onboarding, payroll, employee changes, and terminations.
  • Advanced proficiency in Microsoft Office, particularly Excel (pivot tables, VLOOKUP, data analysis) and PowerPoint (HR presentations).
  • Exceptional organizational and project management skills, with the ability to prioritize competing tasks and meet tight deadlines.
  • Strong attention to detail, ensuring accuracy in documentation, reporting, and compliance audits.
  • Excellent written and verbal communication skills, with the ability to interact professionally at all levels.
  • High level of integrity, accountability, and discretion, with a deep appreciation for confidentiality.
  • Adaptable and flexible, able to work in a fast-paced, evolving environment.
  • Customer-focused with a commitment to fostering a positive workplace culture.
  • Knowledge of employment standards, payroll legislation, and benefits administration.
WHAT OPTIONAL ELEMENTS SUPPORT YOUR APPLICATION (all Are Assets)
  • Bilingual in English or French.
  • Payroll or HR certifications (e.g., Payroll Compliance Practitioner (PCP), Certified Human Resources Professional (CHRP) are an asset.
