Job Summary
The GES Operations Project Coordinator reports directly to the Associate Director, GES Operations and works directly with members of the GES Operations team to support Product Life Cycle Management (PLCM) and Product Transfer projects. The GES Operations Project Coordinator actively monitors ongoing project schedules in the assigned programs and develops and delivers various reports/dashboards to aid in effective management of the Program. The role plays a key role in coordinating activities and information sharing with external partners including full facilitation of partner touchpoints. In addition, the Project Coordinator role supports GES Operations projects and works across the functional areas to ensure project information in the project management operating system(s) is kept accurate and up to date. They will serve as an intermediate technical specialist with knowledge of supply chain and manufacturing processes which they use to lead general PLCM projects and processes.
Job Responsibilities
- Support for GES Operations Portfolio of projects:
- Issue, follow-up, and coordinate all change requests related to SAP codes, master recipes, MMaRs, MPaRs, finished goods, semi-finished, packaging components, and unique excipient codes, as necessary.
- Collect supporting data for technical summaries – executed batch records, packaging specifications, and analytical methods. Utilize SAP, EPM, databases, project tools, systems, methodologies, and software to plan and execute activities with the Project Manager and other stakeholders.
- Maintain Dashboard (i.e. EPM) and project trackers/plans.
- Participate in cross-functional meetings and communications with key stakeholders in support of achieving commercial readiness.
- Information/documentation management.
- Coordinate Partner connections including consolidating data from cross-functional teams to prepare presentations, agendas, and minutes, and ensure all partner information is updated in relevant databases (i.e. SharePoint, Salesforce).
- Initiate technical/data requests for dashboard entries to support groups.
- Support for material coordination GES Projects Program (CMOs and CPOs):
- Order Samples/materials for CMO/CPO.
- Request quotations and documentation.
- Coordinate delivery activities and manage inventory/tracking.
- End-to-end direction and implementation for PLCM projects ensuring successful implementation of changes/processes to GES portfolio, resulting in continual, uninterrupted supply of products to market:
- Participate and lead in cross-functional project teams developing systems, policies, procedures, and measures of performance to facilitate continuous improvement of the GESO Portfolio & Processes.
- Gather, organize, and analyze information pertinent to GES operations and supply chain and present summary information and recommendations in project reports.
- Respond to complex queries from initiation through to project completion by providing a specialized level of direct/indirect input in the definition, development, and planning of GESO Projects.

Job Requirements
- Education:
- B.Sc. or College Diploma (Engineering, Chemistry, Biology, Pharmaceutical or Health Sciences preferable).
- Project management experience and expertise including PMP Certification considered an asset.
- Knowledge, Skills and Abilities:
- Basic knowledge of the key principles of Project Management as outlined by Project Management Book of Knowledge (PmBOK).
- Demonstrated experience using MS Office Suite (i.e. Excel, PowerPoint, Project).
- Strong knowledge of ERP systems, specifically regarding the functionality and integration of Sales, Manufacturing, Quality, and Supply Chain (SAP preferred).
- Demonstrated ability to grasp key concepts with a capacity to consistently produce accurate, complete, and thorough work of high quality.
- Good organizational and time management skills with ability to manage multiple priorities to accomplish objectives and goals anticipating and adjusting for problems and interruptions/roadblocks.
- Knowledge of pharmaceutical processing would be an asset.
- Demonstrated ability to drive for results.
- Excellent communication and interpersonal skills.
- Experience:
- 5 years of experience in the pharmaceutical industry or equivalent experience in an R&D environment in another industry.
- 1 year of experience with MS Project or other planning software.
